The Intake Coordinator is responsible for overseeing the intake process, for the overall coordination of all client admissions. This position is responsible for providing professional support to coordinate every aspect of the admissions process from phone support until arrival to the program. Further coordination of accurate information prior to admit between admissions, clinical, and medical teams. The primary responsibility is to liaison and support potential clients before, during and throughout the admissions process and communicate pertinent information to all needed parties.

QUALIFICATIONS

Preferred Experience:

  • Minimum of two (2) years’ experience in a role within the mental health or substance abuse industry
  • Understanding of insurance benefits, authorizations, verifications, patient responsibility, etc.

Licensure: Must have a valid driver's license.

Background checks: Must be approved through DHS Office of License to work with behavioral health field.

PRIMARY RESPONSIBILITIES

1. Maintain professional and positive attitude when working with potential clients, their families, and internal staff.

2. Provide phone support for incoming admissions inquiries. This includes program information, pre-admissions screening/assessments, collecting insurance information, and answering pre-admissions questions from potential clients, family members, friends, and referral sources.

3. Demonstrate the ability to provide an accurate assessment of client acuity in a timely manner.

4. Ability to effectively communicate the benefits of treatment to potential clients and family members.

5. Act as liaison between the facility, paying party and Deer Hollow financial team prior to and during admission.

6. Provide referrals when a potential client is not an appropriate fit for our facility. At times, this includes handing the potential client off to a different referring facility.

7. Document and review clinical information with Clinical Team and Nursing Director prior to admission.

8. Present with a deep understanding of insurance and a willingness to learn and problem solve when issues related to insurance arise.

9. Keep appropriate and up to date tracking of incoming admits, coordinating with residential and outpatient teams to ensure smooth flow of discharging and incoming clients.

10. Conduct timely follow-up with clients, as needed to ensure admission.

11. Coordinate with clinical staff, families, and patients (only when absolutely necessary) regarding financial options for extended treatment.

12. Contact insurance company directly for Verification of Benefits prior to client admitting to program.

13. Provide financial team with necessary information on incoming admits. Assist with financial approvals for admitting clients, working closely with financial team to ensure goals are being met.

14. Act in alignment with company policy and procedure, as the first face of Deer Hollow Recovery to outside parties.

15. Visit incoming admits in detox centers daily until they discharge to our facility, including but not limited to collecting clinical information, communicating with doctors and nurses, and monitoring medications the client will be discharged with and reporting to our DON or any other necessary internal staff.

16. Ensure completion of all necessary admissions documents in EHR.

17. Identify and report new referral source opportunities. Maintain records of new and previous referents contact information and status.

18. Ensure appropriate boundaries with clients and their families throughout admissions process. Keeping HIPAA and privacy standards in mind at all times.

19. Maintain and strengthen relationships with outside facilities, referents and individuals who have a vested interest in Deer Hollow Recovery and our mission.

20. Transport clients in company vehicle to and from the airport, admissions office and facility, as needed.

21. Attend weekly treatment team meetings to keep informed of client progress and appropriateness within the program.

22. Provide supportive and clear communication with preferred partnership(s) for program expectations.

23. Additional duties as assigned.

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
