Deer Pond Auto is hiring! We are seeking a detail-oriented and organized Body Shop Administrative Assistant to join our team.
In this role, you will be responsible for managing various administrative tasks that support the efficient operation of our auto body shop. Your primary focus will be on handling billing, invoicing, paperwork, and deposits, ensuring that all financial transactions are accurate and timely. The ideal candidate will have strong communication skills, a keen eye for detail, and a passion for providing excellent customer service.
Key Responsibilities:
- Billing and Invoicing: Prepare and process customer invoices, ensuring accuracy and compliance with company policies. Verify and post payments to customer accounts.
- Record Management: Maintain organized records of all financial transactions, including invoices, receipts, and payment records. Ensure that all documentation is up-to-date and easily accessible.
- Customer Interaction: Serve as a point of contact for customers regarding billing inquiries, providing clear and prompt responses to their questions and concerns.
- Deposit Processing: Manage daily cash flow and prepare bank deposits, ensuring all funds are accurately accounted for and deposited in a timely manner.
- Account Reconciliation: Assist in reconciling accounts receivable and payable, identifying discrepancies, and resolving issues as they arise.
- Reporting: Generate regular reports on financial transactions, outstanding invoices, and account statuses to assist management in making data-driven decisions.
- Administrative Support: Provide general administrative support to the shop, including filing, organizing documents, and assisting with other office tasks as needed.
Qualifications:
- Proven experience in an administrative role, preferably in the automotive or repair industry.
- Strong organizational skills and attention to detail.
- Proficient in using accounting software and Microsoft Office Suite (Excel, Word, etc.).
- Excellent verbal and written communication skills.
- Ability to work independently and manage multiple tasks effectively.
- Customer service-oriented with a positive attitude.
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
