PURPOSE OF POSITION: Provide comprehensive administrative support primarily to the Ski and Bike Patrol Management team, ensuring seamless operations by managing schedules, payroll, purchasing, and incident tracking. This role is critical in maintaining organization, facilitating effective communication, and supporting the department's overall efficiency.
RESPONSIBILITIES:
- Administrative Support: Assist the Ski and Bike Patrol Management team in staffing, payroll, purchasing, and finance-related tasks.
- Scheduling: Create, publish, and update schedules in accordance with department guidelines. Collect and document schedule requests from patrollers.
- Incident Tracking: Support the incident investigator supervisor by tracking investigations and assisting with general reports as needed.
- Payroll Management: Perform daily payroll functions, including reviewing and editing timecards. Coordinate with the Payroll team to ensure all timecards are approved.
- HR Liaison: Serve as the main contact between Mountain Operations and Human Resources, assisting with employment paperwork and payroll forms.
- Purchasing & Expense Management: Process purchase orders and invoices. Assist with procurement and tracking department expenses.
- Correspondence: Draft, organize, and maintain communications across various channels, including the National Ski Patrol (NSP), the ATF, and Intermountain Health.
- Training Materials: Maintain and update training manuals, certifications, and forms.
- Inventory Management: Track and maintain inventories for first aid/medical supplies, radios, signage, and tools.
- Incident Reporting: Monitor Edge Auditor and incident form submissions for accuracy and completion.
- Guest Support: Prepare and send sympathy cards to injured guests.
- Database Management: Create and maintain department databases and reports.
- Cross-Department Collaboration: Assist with tasks supporting other Mountain Operations teams as needed.
- Other Duties: Take on additional responsibilities as assigned.
QUALIFICATIONS:
- Education: High school diploma or GED required.
- Experience: At least 1-3 months of related experience in a high-volume environment, or an equivalent combination of education and experience. Experience in Mountain Operations is preferred.
- Physical Requirements:
- Must be able to lift up to 50 lbs.
- Capable of climbing ladders and shoveling snow.
- Schedule:
- Must arrive between 7:00 and 8:00 AM, regardless of weather conditions.
- Willing to work extended hours and additional days as requested.
- Key Skills:
- Ability to maintain a calm demeanor during emergencies.
- Strong organizational and communication skills.
- High level of confidentiality with sensitive information.

- Flex Year Round - may have periods of layoff or reduced hours
PAY RATE:
- Pay: $20.00 - 25.00 per hour, dependent on experience
