The Receptionist / Clinic Assistant supports the operations of the Deerfield Clinic under the guidance of the Director of
Clinical Services. This full-time role is typically a Monday through Friday with a 7 : 30am start time. This role ensures the smooth flow of residents through the Clinic, manages incoming and outgoing
telephone calls, organizes and files medical records, distributes lab results, submits work orders, and schedules
MAHEC appointments. All responsibilities are carried out with a focus on safety, efficiency, professionalism, and
excellent customer service.
Our Receptionist / Clinical Office Assistant :
Will primarily work in a clinical office environment within a continuing care retirement community.
Will frequently use a computer, phone, and other standard office equipment.
Will be required to read small print, communicate effectively and write legibly.
Must be able to sit for extended periods, stand, bend, stoop, kneel, reach and walk in a fast-paced environment.
Must be able to lift up to 40lbs floor to waist, lift 10lbs waist to shoulder, lift and carry 40lbs, and push / pull 40lbs.
May occasionally be exposed to infectious waste, bodily fluids, infectious diseases, hazardous chemicals, changes in temperature,
noxious odors, dust, gases, and fumes, and must follow all related safety protocols, including wearing PPE (e.g., gloves, masks, gowns)
when indicated.
Subject to working with frequent interruptions.
Subject to experiencing the need to manage hostile and / or emotionally distressed residents, family members, etc.
May be required to work varying hours outside of established schedule and rotating holidays.
Role Requirements :
Must have a high school diploma or GED.
At least one year of experience in a clinical outpatient setting or a customer-facing healthcare environment is strongly preferred.
Experience in using Electronic Medical Records (EMR) systems or scheduling software is strongly preferred.
Must be proficient with basic computer use, including typing, Microsoft Outlook, and Microsoft Word.
Must be willing to obtain CPR / BLS certification and maintain this credential throughout employment.
Must be willing to engage in ongoing professional development, including a minimum of 6 CEUs annually related to the role.

Possess excellent interpersonal and communication skills, fostering positive interactions with residents, families, and staff.
Has the ability to manage time effectively, prioritize tasks, and work efficiently under pressure.
Self-motivated and proactive, with the ability to take initiative and make sound decisions when necessary.
Comfortable learning and using technology to enhance Clinic operations.
Committed to maintaining confidentiality and adhering to HIPAA regulations and ethical standards in all aspects of the role.
Must always promote a positive customer service approach with each interaction, either with resident, staff or families.
Must be able to assist coordinator with MAHEC resident and the workload in a harmonious and positive manner.
ESSENTIAL FUNCTIONS
Must be able to read, write, speak and understand the English language.
Able to take directions from nurses as it relates to the day-to-day functioning of the clinic.
Must be able to greet residents / patients in a warm, professional, and supportive manner.
Maintain a positive and professional approach in all residents, staff, and family interactions.
Assist with scheduling, coordinating and monitoring patient appointments. Handle correspondence and record keeping. Answer incoming calls promptly and professionally, route them appropriately or take accurate messages. Organize and file medical records, ensuring compliance with all regulatory standards. Distribute lab results, submit work orders, and ensure timely communication of essential information.
