Job Title: Maintenance Billing Accountant/Dispatcher
Job Summary: We are seeking a detail-oriented and organized Maintenance Billing Accountant to join our team. This position is responsible for managing billing processes related to maintenance services, ensuring accurate and timely invoicing, and maintaining thorough records of transactions. The ideal candidate will have strong accounting skills, a solid understanding of billing processes, and a commitment to delivering exceptional service to both internal teams and external clients.
Key Responsibilities:
- Billing and Invoicing: Prepare and process invoices for maintenance services in a timely and accurate manner, ensuring all charges are correctly applied to customer accounts.
- Account Reconciliation: Reconcile maintenance billing accounts to ensure accurate financial records, addressing discrepancies and resolving issues as needed.
- Record Keeping: Maintain up-to-date records of all maintenance billing transactions, ensuring compliance with company policies and financial regulations.
- Customer Communication: Communicate with clients and internal teams to resolve billing issues, answer inquiries, and provide clarifications regarding charges.
- Reporting: Prepare regular reports on billing status, outstanding invoices, and revenue from maintenance services for management review.
- Collaboration: Work closely with the maintenance department to verify service charges, resolve disputes, and ensure all services are billed accurately.
- Compliance: Ensure all maintenance billing activities comply with relevant accounting standards, internal policies, and legal requirements.
- Data Entry & System Maintenance: Enter maintenance billing data into accounting software, ensuring accuracy and proper documentation.
- Audit Preparation: Assist in the preparation of audit materials and support the audit process by providing necessary documentation and clarification.
- Customer Communication: Act as the primary point of contact for customers, providing updates on the status of maintenance requests, resolving inquiries, and ensuring customer satisfaction.
- Problem Solving: Address any delays or issues related to maintenance requests, troubleshooting problems and working with the team to find efficient solutions.
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience in accounting or billing, preferably in a maintenance or service-based environment.
- Strong understanding of billing processes and financial reporting.
- Proficiency in accounting software and MS Excel; familiarity with ERP systems is a plus.
- Excellent attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks and prioritize effectively.
Preferred Qualifications:
- Experience with maintenance or facilities management billing.
- Knowledge of accounting regulations and best practices.
- Prior experience in a role involving customer-facing interactions.
