Before and After School Program - Site Coordinator 

Purpose Statement: 

The job of Before and After School Program - Site Coordinator is done for the purpose/s of coordinating and managing expanded learning opportunities for students and families, including before and after school programs. Implementation of programs is in coordination and collaboration with program, school and district staff, and community partners. Daily programs include SEL, language, nutrition, fitness/wellness, and academic intervention and enrichment.

Responsible for the day-to-day enrichment programming outside the school day. Position plays a key role in creating positive relationships with students, families, and community partners who participate in programs as well as providing consistent and effective communication.  The site coordinator will support staff training, collect and review data, and compile performance reports.

 

Essential Functions   

  • Establishes and maintains a positive and respectful learning environment and working relationship with students, staff, administration, parents/guardians, and community members.
  • Supports the director in the accountability and direction for programs operated at the site.   
  • Attends and actively participates in expanded learning training.
  • Ensures the program meets all state, district and grant requirements.
  • Meets regularly with the principal, school day staff, and program partners to ensure the program is aligned with the school day curriculum.
  • Works with the program and school day staff to provide consistent, proactive student behavior support; addresses student behavior issues, takes appropriate action, and contacts families, school principal, and program director as needed.
  • Demonstrates an awareness of and sensitivity to multicultural and multilingual values and environments and effectively works with and responds to people from diverse cultures or backgrounds.
  • Establishes trust and positive relationships with students cultivating a sense of safety and well-being.
  • Records and reports required program data within scheduled due dates or timelines (food service, attendance, behavior, health and safety).
  • Prepares and maintains student registration, field trip permission, data, attendance and teacher forms.
  • Ensures adequate staffing of programs and fills in as needed in order for the program to meet mandated standards, and communicates with administrators when additional support is needed.
  • Provide training to staff in collaboration with school and district staff.
  • Coordinates all before and after school activities.
  • Maintains evidence of continuous monitoring of student progress.
  • Analyzes data and submits results to the principal and district director.
  • Conducts and documents emergency and safety drills.
  • Conducts a parent/caregiver orientation meeting, and family engagement activities throughout the year.
  • Provides ongoing communication (apps, newsletter) to participants, families, staff, and community partners.
  • Maintains a current  information bulletin board (at the site, web based) including, but not limited to, current schedules, activities, pictures, community resources etc.
  • Solicits meaningful input from students, families, and partners by written survey.
  • Documents volunteer and community partnerships.
  • Demonstrate a professional and positive attitude when carrying out responsibilities as a member of the district team. 
  • Utilizes computer and software programs as related to job responsibilities. 
  • Maintains accurate, complete, and confidential records as required by law, district policy and administrative regulations. 
  • Follows and maintains knowledge of all District policies and procedures.

 

Other Functions

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.

 

Job Requirements: Minimum Qualifications

SKILLS are required to perform multiple technical tasks and occasional need to upgrade skills due to changing job conditions.  Specific skills required to satisfactorily perform the functions of the job include communicating with persons of varied cultural and educational backgrounds; preparing and maintaining accurate records; planning and supporting the management of programs/grants; and operating standard office equipment including Google and Word based system and pertinent software applications.  

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation; organizational skills; stages of child development; parent education issues, post-secondary options; codes, policies, laws and regulations related to vocational training for special needs populations; and principles of directing and motivating students.  

ABILITY is required to schedule a significant number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with individuals and/or groups from diverse backgrounds; work with data of varied types and/or purposes. In working with others, independent problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups; practicing culturally responsive practices; maintaining confidentiality; dealing with changing priorities; working with frequent interruptions; leading and working as part of a team; working with detailed information; directing and motivating students; managing and motivating staff; meeting deadlines and schedules; working effectively with students, staff and community; and using a variety of technology based programs on a daily basis.

Responsibilities include supporting program development and management at a school site; alternative work schedule.

 

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: Generally the job requires 10% sitting, 60% walking, and 30% standing. This job is performed in a generally clean and healthy environment.

 

EDUCATION, EXPERIENCE/TRAINING:  

Required: 

Three years’ experience in youth programs such as academic enrichment, visual/ performing arts, health/nutrition, technology, sports/recreation, etc. 

Post high school education college coursework and/or training in education, recreation, psychology, health, or other related fields.

Proficient computer skills, including Google and Word programs.

Experience creating and managing academic and/or enrichment programs for small and large groups of children (i.e. classroom teacher, summer camp, before or after school programs, school day classified staff man; event management).

Demonstrated experience working with diverse cultures and populations.
