POSITION SUMMARY:
As the Operations Specialist II at DAS, you will play a vital role in ensuring the smooth daily operations of the office and projects of a growing small business working on mission critical solutions. You will support our leadership and engineering teams by handling administrative tasks, managing inventory, tracking orders, accessing and managing HR and other business support tools in addition to overseeing shipping and receiving. Additionally, you will help maintain compliance with ISO 9001 quality management standards and ensure that office and inventory processes run efficiently. This position reports to the Operations Lead.
This is a full-time, on-site position requiring strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
ESSENTIAL RESPONSIBILITIES:
General Office Support
- Manage daily office operations, including ordering supplies, maintaining organized records, and ensuring a clean and efficient workspace.
- Assist with scheduling meetings, coordinating travel arrangements, and organizing company events.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Support the leadership team and staff with administrative tasks, such as preparing reports, proofreading documents, tracking expenses, accessing and supporting benefits programs and maintaining documentation.
Inventory & Order Management:
- Manage inventory tracking and order processing using Fishbowl inventory software.
- Place and track purchase orders to ensure timely receipt of materials and supplies.
- Maintain accurate inventory records, conduct periodic audits, and reconcile discrepancies.
- Ensure proper storage, labeling, and organization of inventory items.
Shipping & Receiving:
- Oversee all shipping and receiving activities to ensure accurate and timely delivery of materials.
- Inspect incoming shipments for accuracy and quality, updating inventory records accordingly.
- Coordinate with vendors, carriers, and internal teams to ensure smooth logistics and resolve any shipping issues.
ISO 9001 Quality Management Compliance:
- Support the company’s ISO 9001 quality management system by maintaining documentation and ensuring compliance with established procedures.
- Assist in quality audits by providing necessary records and reports.
- Ensure that inventory management, order tracking, and shipping processes align with ISO 9001 standards and company policies.
QUALIFICATIONS:
This position requires an Associate’s degree or equivalent experience. Bachelor’s degree preferred. Minimum Skills:
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office software.
- Familiarity with order tracking, procurement, and vendor coordination.
- Knowledge of shipping and receiving processes and logistics best practices.
- Excellent verbal and written communication skills.
- Ability to work independently and take ownership of responsibilities.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and ability to resolve logistical or administrative challenges.
- Strong organizational and multitasking skills with attention to detail.
Desired Skills:
- Understanding of ISO 9001 quality management principles.
- Experience using Fishbowl or other inventory management software.
- Adobe Illustrator or equivalent publishing/design
Experience:
- 2-5 years of administrative, office management, or inventory management experience.
- Experience with order tracking, shipping & receiving, or procurement is a plus.
- Prior experience in a technical, engineering, or government contracting environment is preferred but not required.
SECURITY CLEARANCE:
This position requires that the candidate be willing and able to complete a successful background screening for a US DoD security clearance.
