Our busy law firm is seeking an Executive Assistant to the Managing Partner who thrives on multitasking, client interaction, and managing complex calendars. If you have legal secretarial experience, excellent communication skills, and enjoy supporting both business and client development activities, we’d love to hear from you!
Key Responsibilities :
- Coordinate a fast-paced schedule, including trials, depositions, mediations, conference calls, and international travel arrangements.
- Draft and send emails and reports on behalf of the Managing Partner, maintain legal formatting, and manage timely distribution of reports to clients and internal staff.
- Direct client mail, FedEx deliveries, and service of pleadings to the appropriate attorneys using firm records.
- Handle all travel logistics, including domestic and international flights, hotels, and car rentals.
- Manage personal tasks for the Managing Partner, such as handling memberships, client gifts, family appointments, and event planning.
- Research and maintain client contact information, conduct internet research, and manage firm-wide e-communications and mass emails to 7,000 recipients.
- Support the Managing Partner’s role as a continuing education provider, including researching state-specific requirements, submitting applications, and maintaining provider and course renewals.
- Organize continuing education seminars, track attendance, and ship materials for out-of-state seminars.
- Assist with client development initiatives by maintaining and updating client contacts in the CRM system.
- Track and follow up on client engagements, ensuring timely attention to client needs and business development opportunities.
- Maintain and monitor client interactions, helping to enhance relationships through consistent communication and outreach efforts.
- Demonstrate exceptional attention to detail in all tasks, ensuring accuracy in scheduling, document preparation, and client communications.
- Show initiative in identifying opportunities for process improvement, proactively addressing challenges, and taking ownership of responsibilities.
- Other duties as assigned.

This is a fully in-person position based at our New Orleans office. The selected candidate must adhere to our in-office attendance policy and is expected to work on-site during all designated work hours. Punctuality, consistent attendance, and the ability to work in a collaborative office environment are essential requirements of this position.
