We are growing and seeking an experienced, detail-oriented Office Manager to oversee office operations, financial tasks, and administrative functions. Key Responsibilities:
Administrative & Office Management
✅ Answer and manage incoming phone calls
✅ Order office and shop supplies
✅ Maintain OSHA 300 reporting
✅ File Statements of Information with the State of CA
✅ Maintain business licenses for various counties
Financial & Payroll Responsibilities
✅ Use QuickBooks for daily accounting tasks
✅ Manage Accounts Receivable – Invoicing and receiving payments
✅ Handle Accounts Payable and process vendor payments
✅ Oversee Payroll, including:
- Direct Deposits
- 401(k) Deposits
- Payroll Tax Deposits (Federal & State)
- FUTA Tax Deposits & Year-End Tax Returns
- Year-End W-2s & 1099s
- Quarterly Tax Returns (Federal & State)
✅ Prepare Quarterly State Sales Tax & Mill Tax Returns
✅ Complete DOORS Year-End Reporting
Contracts & Compliance
✅ Prepare and manage:
- Construction Contracts
- Engineering Contracts
- Subcontractor Contracts
- Certificates of Insurance (COIs) for subcontractors
✅ Issue Purchase Orders (POs) & Change Orders (COs) as needed
✅ Coordinate Workers’ Comp & General Liability Audits
✅ Compile documentation for Builders Risk Insurance
Qualifications:
- Proven experience as an Office Manager, preferably in construction or contracting
- Proficiency in QuickBooks, Microsoft Office, and accounting software
- Strong knowledge of payroll processing, tax filings, and accounts management
- Experience preparing construction contracts & compliance documents
- Ability to multi-task, prioritize, and meet deadlines in a fast-paced environment
- Excellent communication and problem-solving skills
Job Type: Full-time
Pay: $25.00 - $29.00 per hour
