What are the responsibilities and job description for the Administrative Assistant position at Delaney Event Management?
Delaney Event Management, one of the premier event management companies in Northern New England, is looking for a qualified professional to join our team as a full-time Administrative Assistant. Established in 1997, we are a full-service, woman-owned, independent meeting planning firm headquartered in Winooski, Vermont. We partner with state and federal agencies, non-profit organizations, educational institutions, and corporations to provide comprehensive event planning and execution services for over 50 conferences and events each year.
ABOUT THE POSITION
Customer Care & Registration Support (70% of total time): On behalf of our clients, provide superior service to registered and prospective event attendees and sponsors via email and phone. This includes making registration modifications in our event registration system (Cvent), processing new registrations, entering check payments received, resending confirmation emails and receipts, and answering general event-related questions.

Event Assistance (30% of total time): Provide administrative support to a team of 14 event professionals.
- Assembling name badges (10%)
- Cross-checking lists of special attendee subsets (speakers, committee members, etc.) to rooming and/or registrant lists. (5%)
- Staffing a registration desk at in-person events (5%). This may include travel in and out of state or occasional work outside of normal business hours. Ample advance notice will be provided for planning purposes.
- Updating mailing lists (5%)
- Light cleaning of the office (5%)
- Greeting/buzzing delivery personnel into the office building.
THE IDEAL CANDIDATE
The ideal candidate will be:
- Experienced (at least 1 year of general administrative support in an office setting)
- Eager to learn and grow as part of an established team
- A skilled multi-tasker; able to manage competing priorities
- Comfortable with technology, and open to learning new skills and tech tools
- Able to receive feedback and take direction
- Possess strong time management and follow-up skills; able to meet deadlines
- Friendly with colleagues, clients, and customers
- An excellent professional communicator (verbally and in writing; English speaking required)
- A team-player; willing to work outside of your job description
- Able to sit or stand at a computer for work for at least 8-hours per day
- Able to lift/move boxes (up to 50 pounds)
The ideal candidate will have experience with some or all of the following:
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) (high proficiency required)
- Project management software (Asana, Trello, etc.)
- Video conferencing solutions (Zoom, Teams, etc.)
- Event registration systems(s) (Cvent)
