General Description of the Position
Reporting to the Director of Housing Director, the Administrative Assignment Coordinator will support the Department of Housing's administrative and operations during the academic year and summer months. Under the direction of the Director, the Administrative Assignment Coordinator oversees the operations of the residential community for students specified personnel (Residential Education) and external stakeholders. works collaboratively with student, stakeholders and residence education staff to foster a safe, clean, and enriching living community.
Essential Functions & Required Knowledge, Skills and Abilities
Essential Functions
- Assists the Director in overseeing and managing the university's housing administrative operations and programs, including, but not limited to, the development of Housing operations goals and learning outcomes consistent with the University's strategic plan.
- Assist with answering multi phone lines, respond to emails daily.
- Responsible for managing and administrating housing assignments, occupancy reports, and room Condition Inventory. Other related duties include, but are not limited to, the housing assignment processes for all students, room changes, changes of occupancy status, and housing wait lists. Assists in the Housing Selection Process and room assignment for each resident, as well as with placement and billing in the university's enterprise reporting system.
- Collaborates with the College's Office of Accessibility and Accommodations to support students with needed housing accommodations.
- Coordinates summer housing assignments and logistics for students and program staff.
- Assist Residential Education as needed with the room check-in and check-out process.
- Assist with inspections rooms before student/staff arrival to ensure preparedness.
- Addresses requests for room changes, cancellations, etc.
- Provide feedback and suggestions on operational practices for efficiency.
- Collects and analyzes data and assists with occupancy reports.
- Collaborate closely with campus partners in Dining, Facilities, Public Safety, Campus Recreation, Athletics, Health Services, and others to strategically plan events that will advance the University's mission, vision, values, and objectives,
- Performs other duties as assigned by the Director or designee
- Bachelor's Degree or High School Diploma with ten years of related experience.
- The ability to manage multiple projects, prioritize, and meet deadlines.
- Experience working in event planning or similar environments.
- Experience responding to crises and emergencies.
- Highly responsible, compassionate, positive, proactive, solution-oriented, and a team player.
- Strong interpersonal, communication, and organizational skills.
- Proven ability to establish strong collaborative relationships and work effectively with students, faculty, and staff to promote a positive residential culture and community. Sound judgment and discretion.
- Ability to problem solve and work independently.
- Proficiency with Microsoft Word, Excel, and PowerPoint. (Familiarity with Residence by Simplicity or Starrez Management system is a plus.)
- Ability to occasionally participate in specific weekend and evening events during the academic year is required.
