General Description of the Position
Provide administrative programmatic support for the Social Work Graduate (Master of Social Work and Doctor of Social Work) Programs. Work under the direct supervision of the MSW and DSW Program Directors.
Essential Functions & Required Knowledge, Skills and Abilities
Essential Job Functions
The following are the functions essential to performing this job:
1. Performs administrative operating practices and procedures and makes recommendations to support smooth and efficient coordination and growth of the graduate programs, such as monitoring and tracking: Graduate Programs information inquiries, MSW and DSW admission and re-admission applications, plan of study and matriculation documents completion, semester schedules, and distribution of course materials to adjuncts.
2. Supports the graduate Program Directors in completion and submissions of travel authorizations, requisitions and purchases, marketing and copy center requests, budget transfer requests, supply orders, etc.
3. Supports the graduate Program Directors in planning and facilitating campus outreach events, recruitment activities, graduation celebrations, student group meetings, and orientation activities.
4. Supports the graduate Program Directors in developing, editing, and electronically distributing MSW and DSW Program newsletters.
5. Supports the graduate Program Directors (when funds are available) in interviewing and hiring graduate student workers, monitoring time and attendance, monitoring the completion of assigned tasks, and approving time sheets.
6. Participates in Department, College and University meetings and events as required.
7. Performs other related administrative and occasional duties as assigned by the MSW and DSW Program Directors.
Required Knowledge, Skills, and Abilities
The candidate must possess the following skills and abilities to perform essential functions or without reasonable accommodations:
1. Knowledge of office operations, services, etc.
2. Knowledge of administrative support practices and procedures.
3. Intermediate to advanced time management practices.
4. Basic knowledge of computer software/applications, such as word processing, spreadsheets, graphics, and databases found in such products as Microsoft Office.
5. Basic knowledge in social media platforms for the purpose of marketing and growing the MSW and DSW Programs.
6. Ability to verify the accuracy of information, resolve discrepancies, and follow up on outstanding tasks and activities.
7. Ability to community effectively with students, faculty, staff, administration, and the public.
8. Value teamwork and collegiality.
Qualification Standards
1. Education: Minimum of a bachelor’s degree.
2. 3 years of administrative work experience.
3. Preferences: Mastery of Microsoft Office Suite and social media platforms.
