Summary Statement
An incumbent is responsible for tasks related to the development and/or maintenance of the student information system’s financial aid module as well as other software packages used by the financial aid office. Supervises, trains, and evaluates the performance of subordinates.
Nature and Scope
An incumbent reports to the collegewide director of financial aid. An incumbent is responsible for supporting system functions within the financial aid office while identifying areas to improve office efficiency and system functionality in compliance with federal and state regulations. This includes the training of College staff as it relates to various software-related tasks.
Principal Accountabilities
An incumbent may perform any combination of the below listed accountabilities:
- Responsible for the management and maintenance of the student information system’s financial aid module in relation to the delivery of federal, state, and institutional aid.
- Provide technical support to financial aid staff.
- Serve as the primary point of contact for all matters pertaining to the electronic forms management system.
- Collaborates with the information technology department and other offices throughout the College, including but not limited to the office of research and analytics (ORA) and registration.
- Responsible for collecting data and evaluating the effectiveness of office processes, aid packaging strategies, and office business processes.
- Assist in system-wide testing of software to ensure the College remains compliant with federal and state regulations.
- Oversee the financial aid office in annual modifications such as academic year funds set up, packaging, and the awarding process.
- Create and maintain application support documentation, functional and technical requirements for business process workflows, and training materials.
- Troubleshoot common system-related issues.
- Performs other related duties as assigned.
Knowledge Skills and Abilities
- Knowledge of student information systems’ financial aid modules.
- Knowledge of system development lifecycle and the integration of financial aid policies and procedures to ensure maximum system functionality.
- Knowledge of the methods used to assemble, analyze and interpret data, and preparing reports.
- Skill in the collection, analysis, and presentation of data from a variety of sources.
- Skill in oral and written communication.
- Excellent interpersonal and communication skills.
- Ability to manage multiple projects simultaneously while under pressure to meet deadlines.
- Ability to use sound judgment and reach logical conclusions.
- Ability to supervise staff.
- Ability to identify and analyze problems/needs/issues, assess their impact and make recommendations.
- Ability to analyze, recommend and implement policies, procedures, and methods.
- Ability to establish and maintain effective working relationships with College/campus administrators, supervisors, employees, and the public.
- Ability to effectively communicate and relate to a diverse population in a multicultural environment.
Minimum Qualifications
Bachelor’s degree in a related field and four (4) years of relevant experience; or other equivalent combination of education and experience.
