What are the responsibilities and job description for the Associate Registrar position at Delaware Valley University?
Job Summary:
The position is responsible for setting up and coordinating all student registration and course scheduling. The Associate Registrar will train students and department staff on how to register for classes, set up all registration related processes in the Student Information System and audit all registration activities. The Associate Registrar will also schedule all course sections on campus and test software updates as needed to ensure they do not negatively impact registration and scheduling processes and procedures. Manages the Office of the Registrar when the Registrar is out of the office. This position oversees the Academic Evaluator and Registrar Data Specialist.
Essential Duties and Responsibilities:
- Manages data entry for student records, including changes of major, additions of minor, and course substitutions.
- Assists with degree completion, program evaluations, and the application of Latin Honors.
- Coordinates diploma and certificate printing and distribution.
- Processes ACT 45/48 reporting and National Student Clearinghouse verifications.
- Collaborates with third-party providers to ensure accurate data reporting and compliance.
- Manages and optimizes Ellucian Colleague Student to enhance efficiency.
- Develops, implements, and maintains electronic forms to streamline office operations.
- Assigns course sections to academic spaces using the AdAstra application.
- Works cross-functionally with departments to improve registration and records processes.
- Supervises the Academic Evaluator and Registrar Data Specialist, ensuring seamless workflow and teamwork.
- Other duties as assigned.
Required Knowledge, Skills and Abilities:
- Knowledge of Ellucian Colleague Student Information System and Ad Astra Scheduling preferred
- Ability to work with a high degree of accuracy and attention to detail
- Effective interpersonal skills
- Ability to troubleshoot issues for functional users in software applications
- Sensitivity to the confidential nature of academic records
- Familiarity with Family Educational Rights and Privacy Act (FERPA)
Education and Experience:
- Bachelor's Degree
- Four years of directly related experience in or equivalent in higher education
Physical Requirements and Working Conditions:
- Office, library, computer room
- Typically sitting at a desk or table
