Dell Haire Plumbing LLC is looking for an experienced Serivce Dispatcher.
The Dispatcher is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.
Maintain the Service Technicians daily schedules and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the on-call schedule for service technicians. Maintain customer database with current information. Clear and concise communications with department managers, employees and company customers, including keeping customers appraised as to company schedule and requested lead-times. Provide accounting with maintenance contract billing information. Prepare service invoices and timecards for processing.
1. Provide office support services in order to ensure efficiency and effectiveness within the company.
Main Activities
1. Receive, direct and relay telephone messages and fax messages
2. Direct the general public to the appropriate staff member
3. Schedule and coordinate all service calls as calls are received
4. Create work orders for all service calls
5. Dispatch Service Technicians
6. Respond to all messages left overnight
7. Maintain the dispatch board/schedule
8. Forecast workload for 2-3 days out
9. Contact customer with “Parts Pending” status as parts are received for scheduling
10. Follow up on all pending and recommended work with customer
11. Maintain all database information including billing, scheduling and pending parts.
12. Order parts for special orders
13. Create and track truck stock list
14. Update customer files as information is received from installation (warranties, new customers, customer history)
15. Type service contract proposals for new customers
16. Maintain on call schedule
17. Scan and file service work orders
18. Facilitate return of service warranty parts
19. Maintain service warranty log
20. Compare service time sheets and work orders to service schedule
21. Check service time sheets for accuracy
22. Compare checks and payments to work orders
23. Enter checks and payments in accounting system
24. Prepare and mail customer account statements on a monthly basis
25. Prepare notices of overdue accounts
26. Conduct customer surveys
27. Maintain the general filing system and file all correspondence
28. Provide word-processing and secretarial support
29. Call and/or email companies to gain new business
30. Perform other related duties as required
Must have proficient knowledge in the following areas:
