Position Summary:
The Manager Support Services reflects the mission, vision, and values of Northwestern Memorial, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and all other regulatory and accreditation standards.
This position will assist in directing and overseeing the operational needs of the Support Services departments (includes Environmental Services, Patient Transportation, other). The Manager will coordinate the tasks of the subordinate staff and ensure that staff is trained on the essential duties of their position and executing their daily responsibilities in accordance with The Joint Commission guidelines. The Manager will be responsible for scheduling staff to meet the needs of the facility, and in doing so, stay in line with budgetary constraints. In the absence of the Director of Support Services, the Manager will act as the administrative liaison between key customer contacts and these Departments.
The Manager will work to ensure conformance to the standards and policies of the institute and the NM mission. These include, but are not limited to budgets, inventory control, personnel management, maintaining sanitation levels, quality controls/checks, and educational planning. In addition, the Manager will be responsible for completing evaluations of staff, staff development, staff procurement, and retention.
The Manager is a permanent assignment for which staff is selected, based on identified technical/leadership criteria. The Manager has the responsibility and accountability for facilitating and participating in the delivery of quality care of service during a designated shift.
Responsibilities:
- Quality of care or service, establish and review standards and work procedures for all Environmental Services staff in accordance with established policies and practices of the facility.
- Plan work schedules, hours, areas of work, and job duties to ensure adequate housekeeping and patient transportation services are rendered to all areas.
- Assists the Operations Manager Environmental Services in the supervision of various aspects of the departments and collaborates with managers to achieve the departments and Northwestern Memorial Hospital mission, goals, and objectives.
- Interview, select, hire, evaluate, and recommend termination of facility housekeeping personnel in accordance with facility standards.
- Orientate, train, and supervise all Environmental Services staff under span of control.
- Regularly inspect and evaluate physical condition of facility and supervise the relocation and storage of all furnishings and equipment, as well as the relocation of space to improve the sanitation and appearance of the facility.
- Report unsafe conditions and conduct research to improve housekeeping.
- Conduct regular staff meetings and communicate with members of other departments to coordinate housekeeping activities.
- May serve on facility wide committees.
- Schedule major project work, ensuring that adequate staff and supplies are available to perform tasks.
- Conducts regular inventory of housekeeping supplies and order same.
- Keeps costs in line with approved budgetary amounts.
- For scheduling and staffing, coordinates and manages scheduling on a shift.
- Anticipates staffing needs for subsequent shift and makes necessary arrangements for coverage.
- Assumes responsibility for efficient and effective use of time and effort of all staff, including agency and ancillary.
- Under leadership and problem solving, functions as a role model for Patients First standards and interprets criteria staff.
- Coordinates critical situations involving patients, staff, visitors and consults with manager or administrator for guidance as needed (e. g., complaints, discipline, etc.).
- Facilitates effective interdepartmental communication of incidents with appropriate personnel (Manager, Administrator, Medical Staff, etc.).
- Promotes philosophy and objective of the Hospital, Division and Department.
- Provides an environment conductive to communication and cooperation among patients, staff, and visitors.
- Identifies and communications key issues and trends to manager.
- Provides input to manager on budget issues, particularly staffing and cost containment.
- Participates in departmental leadership council.
- For staff development, assess and communicates staff development needs to Operations Manager Environmental Services.
- This role may support additional projects, perform administrative tasks, and other duties as assigned.
Qualifications
Required
- Previous leadership experience required. 5 years of relevant management experience preferred.
- High School Diploma or GED equivalent is required. A College Degree is desired, but relevant work experience will be considered.
- Appropriate clinical or technical competence in relevant area.
- Strong leadership skills.
- Communication skills (interpersonal and group, assertiveness, conflict resolution, etc.)
