Job Summary:
The Child Study Team Secretary provides administrative and clerical support to the Child Study Team (CST) within a school district. This role involves managing confidential student records, scheduling meetings and coordinating communications between staff, parents, and external agencies. The ideal candidate is detail-oriented, highly organized, and able to maintain confidentiality while ensuring the smooth operation of the CST office.
Key Responsibilities:
- Serve as the primary administrative support for the Child Study Team, assisting school psychologists, social workers, and learning disability teacher consultants.
- Maintain and organize confidential student records, evaluations, and special education documentation in compliance with federal, state, and district regulations (e.g., IDEA and FERPA).
- Notification of meetings for evaluations, IEP (Individualized Education Program) reviews, and other team conferences with parents, teachers, and specialists.
- Prepare, proofread, and distribute reports, correspondence, and notices related to special education services.
- Answer phone calls and emails, providing information or directing inquiries to appropriate staff members.
- Track deadlines and ensure timely submission of required documentation.
- Process and manage referral and evaluation requests, ensuring proper forms and permissions are completed.
- Maintain an efficient filing and record-keeping system for CST documents.
- Provide support in ordering supplies
Qualifications:
- High school diploma or equivalent required
- Previous experience as a secretary, preferably in a school setting or special education department.
- Strong knowledge of office management systems and procedures.
- Proficiency in Google (Docs, Sheets, Calendar) and student information systems.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of special education terminology and procedures is a plus.
