This position supports the Facilities Manager and broader Facilities team by handling a variety of office functions including work order coordination, security badge and access assignments, database management, daily office operations, and maintaining accurate records.
In addition, the Facilities Coordinator will assist in overseeing external contractors, supporting contract and project coordination, maintaining documentation, and providing scheduling support—all under the guidance of the Facilities Manager. Responsibilities:
We are responsible for distribution and dispatching incoming, outgoing and interdepartmental mail.
Ensure accurate usage and maintenance of all postage equipment, computerized mailing and tracking equipment for all mailing systems: U.S. Postal Service, UPS, and FedEx. The candidate has ultimate responsibility for the timely and accurate delivery and distribution of all critical documents and packages.
Processes and manages outgoing shipments using UPS for domestic and DHL for international shipments.
Prepares volume mailings such as invoices or newsletters.
Frequently prepares packages for shipment under tight deadlines.
Tracks shipped packages of high importance and ensure timely delivery.
Help employees by offering mail delivery instructions and packaging materials.
Will collaborate with employees and vendors to allocate charges to the appropriate budget.
Responsible for maintaining an adequate supply of shipping materials such as packing boxes, copier paper, and stationery.
Receive incoming small parcels and LTL shipments, sort and prepare packages for delivery.
Administer the company's personal postage policy.
We maintain the Office space directory and assist with office relocates and placements.
Oversee handling of company-wide calendar used for scheduling of meeting and conference rooms along with electronic facility requests.
Assist the Facilities Manager in all aspects of project implementation as needed.
Support the Facilities Manager with external contacts as needed.
Process requisitions and check requests for the department.
Manage the ESS system, including receiving work requests, assigning work orders, entering system data, and providing the overall system administration.
Creates and maintains effective channels of communication (e-mails, meetings, blueprints, quotes, changes, and completion date) with all parties concerned during major expansion and renovation projects.
Enter requisitions and receive purchase orders in SAP and follow through the payment cycle.
Reacts timely and effectively to after hour’s facility and safety-related emergencies.
Under the supervision of the Facilities Manager, will assist in leading outside contractors, including maintaining records, contracts, coordinating project activities, and providing scheduling support.
Education & Experience:
High school diploma required.
Must be able to meet the physical demands of the role, including lifting and moving heavy items such as tables, equipment, and supplies.
Strong verbal and written communication skills, with a demonstrated ability to effectively interact with both internal teams and external partners.
Proven customer service and negotiation skills, with a proactive and solution-oriented mindset.
Proficiency in Microsoft Office applications, particularly Word and Excel; familiarity with SAP is a plus.
Technical aptitude and the ability to support and maintain basic technical equipment is highly desirable.
Strong organizational skills with the ability to manage multiple projects and priorities in a fast-paced environment.
Comfortable challenging the status quo, identifying gaps, and asking insightful questions to drive continuous improvement.
A team player with excellent interpersonal skills and the flexibility to adapt to changing priorities and environments.
