Job Purpose:
The Parts Counter Sales position performs a variety of customer service, in store, marketing, and stocking duties related to the sale, shipping, and receiving of parts that contribute to the efficient, safe, and profitable operation of the parts department.
Essential Duties and Responsibilities:
- Work with the Service Department to ensure a timely turnaround of parts needed for internal jobs and provide service technicians with parts as required.
- Quote parts pricing for both shop and road repairs in a timely manner.
- Source and secure non-stock parts pricing and availability from various vendors for shop and road jobs.
- Answer questions, provide price quotes, inform of companion part requirements and parts specials to both walk-in and phone-in customers.
- Keep internal and external customers informed on the status of special and/or backordered parts and notify them when the parts arrive.
- Follow prescribed cash, credit, and check processing procedures when conducting transactions at the parts counter.
- Add parts to work orders from parts requisitions and green sheets.
- Pull and process parts as necessary for service van replenishment.
- Process cores, parts warranties, and vendor returns as required.
- Ensure that credits are processed and issued correctly.
- Notify the Corporate Parts Manager of out of stock parts and or shop materials that require immediate attention.
- Locate out of stock parts from outside sources and submit emergency orders as necessary.
- Ensure that technicians are submitting properly completed parts requisitions when requesting parts.
Other Duties and Responsibilities:
- Keep parts department neat and orderly.
- Conduct monthly service vehicle inspections.
- Maintain customer goodwill by greeting and acknowledging all customers.
- Use company resources and equipment safely and proficiently.
- Handle customer complaints and concerns in a professional manner.
- Attend all departmental meetings and training as required.
- Assist with resolution of stock and order issues.
- Participate in preparing and taking annual physical inventory.
- Be alert to practices that waste supplies, utilities and time.
- Answer phone calls, providing price quotes and other information.
- Any and all other duties as assigned by management.
Qualification Requirements:
- High School Diploma or equivalent.
- Good organizational skills.
- Minimum 2 years of experience in a parts department.
- Must demonstrate communication and organizational skills to include the ability to apply logic and constructive thinking to solve problems.
- Provide effective oral and written communications to customers, management and vendors.
- Perform mathematical calculations, including decimals and percentages.
- Must be PC literate and possess a thorough working knowledge of Microsoft Excel, Word and Outlook.
- A working knowledge of service operations and computerized parts programs.
- Must be able to push, pull, lift, or move up to 50 lbs.
