Position Summary Information
Responsibilities
DATA COLLECTION, REPORTING, & EVALUATION (45%)
- Ensure that all data imports are accurate for each school district/data compliance
- Collect and enter data from all school districts, vendors, and partners: sign-in sheets and agendas
- Provide schools with an overview of student enrollment
- Enter data into Performance Insights (PI) database: sign-in sheets, Advisory Council meetings, Accountability meetings, Finance trainings, Professional Development trainings for districts, Quarterly Partnership meetings, and any other data as required
- Collaborate with District Liaisons to collect data quarterly
- Collaborate with Foundation for the Mid South to ensure that data is being collected
- Uploads Demographics, Attendance, Academics/Grades, and Standardized Test Scores into ShareFile documents created by Vela Institute (external evaluator)
- Add staff to PI, as necessary, to capture Professional Development opportunities
- Add new colleges to PI when college tours take place
- Create new Service Catalogs in PI
- Complete data spreadsheet (Data Tracker) to track all incoming data from school districts, partners, vendors, etc.
- Monitor all data in PI to ensure accuracy and completion
- Coordinate with Vela Institute to refresh Tableau monthly
- Meet with Vela Institute bi-weekly to discuss program progress and data needs
- Coordinate all surveys with Vela Institute
- Create and send out monthly data reports to each district to outline all GEAR UP activities, meetings, trainings, etc. conducted during the month
- Update the GEAR UP calendar with all district, vendor, and partner events and activities
- Monitor Google Drive weekly to identify data imports
- Evaluate data
- Administer and maintain the GEAR UP program’s databases to ensure reliable, secure, and efficient operations.
- Perform regular database backups and recovery processes.
- Monitor database performance and make improvements to optimize speed, scalability, and efficiency.
- Ensure database security by implementing appropriate access controls and encryption protocols.
DATA INTEGRATION & MIGRATION (5%)
- Assist with data migration efforts between systems as necessary, ensuring smooth transitions with minimal disruption.
- Implement and manage processes for importing and exporting data between the database and other platforms or tools.
- Integrate data from multiple sources, ensuring consistency and reliability across all platforms.
REPORTING & DATA ANALYSIS (10%)
- Support the creation and generation of custom reports for program administrators, stakeholders, and funders.
- Ensure data accuracy for reporting purposes, adhering to federal and state compliance requirements.
- Troubleshoot and resolve any discrepancies or issues in data reporting.
COLLABORATION & SUPPORT (10%)
- Collaborate with the GEAR UP program team, including staff and other administrators, to understand their data needs.
- Provide database training and support for GEAR UP program staff to enhance their ability to work with data systems effectively.
Offer technical assistance and troubleshooting for any database-related issues.
COMPLIANCE & DOCUMENTATION (20%)
- Ensure compliance with federal, state, and organizational data privacy and security regulations.
- Maintain proper documentation for all database systems, processes, and troubleshooting guides.
- Prepare reports for audits, including ensuring proper data retention and backup procedures.
CONTINUOUS IMPROVEMENT (10%)
- Stay updated on industry best practices for database management and implement changes as necessary.
- Provide recommendations for new tools or improvements to enhance the GEAR UP program’s data management capabilities.

Qualifications
REQUIRED
- Bachelor’s Degree preferred and 1 year in a field relative to the job; Minimum of three (3) years of experience working with grant programs/projects OR
- High school diploma/GED and 7 years of experience working with grant programs/projects
- Well-versed in Microsoft Excel and formatting
- Ability to communicate effectively in both oral and written formats
- Interpersonal skills; organizational and typing skills
- Knowledge and proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Ability to learn and retain new tasks quickly and expand that knowledge frequently
PREFERRED
- Minimum of 3 years of experience in database administration, particularly with large datasets and data-driven systems.
- Familiarity with data security protocols and federal compliance regulations (e.g., FERPA, HIPAA) is preferred.
Salary

Minimum Qualifications

- Ability to communicate effectively in both oral and written formats

Preferred Qualifications
- Demonstrated experience presenting information to small and large groups
- Experience working with Performance Insights (PI) software or a comparable longitudinal data tracking platform, particularly with large datasets and data-driven systems
