Job Summary
We are seeking a motivated and organized Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, providing administrative support, and ensuring a smooth workflow within the office environment. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.
Duties
- Provide daily banking information and financial reports to the Board Treasurer, at least on a monthly basis.
- Create and submit requests for reimbursements through our federal and state grants on a monthly basis.
- Manage accounts payable and receivable, overseeing day-to-day financials and bills.
- Support staff in completing necessary duties to enhance the effectiveness of our volunteer advocates.
- Prepare and manage payroll.
- Track office supplies and assist with orders as needed.
- Communicate with volunteers, the board, and staff about upcoming events, and trainings.
- Review case documents through the administrative email, and upload and submit them to the online database.
- Generate financial reports through QuickBooks and program reports through our online database.
- Compile and present data required for grant applications and reporting.
- Answer phone calls, respond to emails, and assist with general inquiries.
- Provide information on volunteer services.
- Prepare checks and financial payments to bills as needed.
- Serve as the primary operator for the financial functions within the organization.
- Manage the monthly status of grants.
Qualifications
- Previous experience in an administrative role or as a personal assistant is preferred.
- Strong computer literacy with the ability to type efficiently and accurately.
- Familiarity with phone systems and excellent phone etiquette skills.
- Bilingual candidates are highly encouraged to apply; proficiency in additional languages is a plus.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Strong interpersonal skills with a focus on customer service excellence.
Position is in person Monday to Friday 8am-5pm.
Job Types: Full-time, Temp-to-hire
Pay: $15.00 - $18.00 per hour
Expected hours: 40 per week
