Description

We are looking for a motivated and detail-oriented Administrative Assistant to support our Executive Administrator and office staff. This role involves clerical tasks across multiple departments, including managing communications, organizing files, greeting visitors, and handling general office duties.

Duties & Responsibilities include, but are not limited, to the following.

  • Promote Company Mission, Vision and Core Values.
  • Handling incoming calls and other communications, as well as greeting clients and visitors.
  • Managing and organizing the filing system, incoming mail, and packages; including sorting, scanning, and directing them to the correct department/individual, with follow-up as needed.
  • Aiding with client reception and coordination of onsite visitors and meetings.
  • Updating paperwork, maintaining documents, and word processing.
  • Helping organize and maintain office common areas.
  • Preparing for meetings, including coordinating lunches, managing meeting supplies (food/drink), and performing setup, takedown, and cleanup.
  • Coordinating onsite maintenance and vendor visits.
  • Performing general office clerk duties and errands, supporting all departments with various tasks, and coordinating with department heads for additional support needs.
  • Coordinating and assisting with event and meeting planning. In addition to supporting the planning of all company events, the Administrative Assistant will be required to attend key events, typically involving travel and spanning multiple days.
  • Managing and maintaining office supply inventory.
  • Ensuring proper functioning of office equipment and coordinating maintenance or replacement as needed.
  • Creating, maintaining, and entering information into databases, compiling data, and preparing various reports.
  • Coordinating with department heads for any support needed.
  • Communicating and coordinating with the Operations team to resolve issues and streamline solutions.
  • Maintaining corporate records, including minutes, corporate policies, regulatory correspondence, and other documentation.
  • Managing office calendar, scheduling meetings, and handling travel arrangements as necessary.
  • Assisting with basic bookkeeping, expense tracking, and budget preparation.
  • Assisting with new employee onboarding, including paperwork and orientation.
  • Providing basic IT support or liaising with the IT department for office technology needs.
  • Coordinating delivery and service of company assets, including company vehicles.
  • Supporting all departments as needed, and completing any other tasks as assigned.
  • Adheres to all company policies & procedures & brand standards.
  • Other duties may be assigned to meet business needs.

Qualifications


Qualification/Requirements:

  • High school diploma or associate’s degree.
  • Experience as an office assistant or in a related field.
  • Ability to write clearly and help with word processing when necessary.
  • Warm personality with strong communication skills.
  • Self-starter with the ability to work well under limited supervision. Must take initiative in all tasks and in ongoing learning and professional development.
  • Great communication skills.
  • Must have a valid driver's license as may be required to drive company vehicles for vehicle delivery/service.
  • Ability to maintain confidentiality and interact with external employees and customers in a professional manner.
  • Competency in Microsoft applications including Word, Excel and Outlook, as well as Google Suite (Docs, Sheets, Mail, etc.).
  • Must possess strong organizational, verbal and written communication skills.
  • Strong attention to details, ability to multitask, self-driven, highly organized, computer literate.
  • Ability to work well in a fast-paced professional office environment.
  • Must be honest, dedicated, self-motivated, efficient, and reliable.
  • Skilled in data entry, 10-key, typing, filing and general office skills.
  • Ability to work in a team environment.
  • Must have the ability to lift, bend, move heavy equipment, and remain on one's feet for extended periods of time.
  • Ability to handle a high volume of transactions and data entry with minimal errors.
  • Must be 18 years or older.
  • Demonstrates good judgment and business reasoning.
  • Must have sufficient mobility to move and/or operate in the work area.
  • Ability to engage in repetitive data entry at computer workstation.
  • Requires professionalism and experience to interface with all levels of management and vendors.
  • Ability to maintain a high level of accuracy, attention to detail, promptness with deadlines, and thoroughness.
  • Strong verbal and written communication skills, and superior mathematical, problem-solving, and analytical skills.
