We are seeking a highly organized and motivated Assistant Property Manager to join our team and assist in managing a residential portfolio. This is an excellent opportunity for someone looking to grow in property management, working with a dynamic team to ensure smooth day-to-day operations, tenant relations, and property maintenance. This is an in office full-time position.
Key Responsibilities:
- Tenant Relations:
- Serve as the primary point of contact for tenants, addressing inquiries, complaints, and maintenance requests in a timely and professional manner.
- Assist in lease renewals, move-ins, and move-outs, ensuring compliance with lease terms and maintaining positive tenant relationships.
- Evaluate property inspections reports and follow up on tenant concerns but mainly to ensure tenant compliance.
- Administrative Support:
- Maintain accurate tenant files, lease agreements, and property records.
- Prepare tenant notices, including rent reminders, policy updates, and compliance notices.
- Maintenance Coordination:
- Coordinate and oversee routine and emergency maintenance requests, ensuring prompt resolution of issues.
- Work with contractors, vendors, and maintenance staff to ensure that properties are well-maintained and meet all safety and quality standards.
- Track and report maintenance expenses and ensure that work is completed within budget - We use Asana for tracking.
- Leasing Support:
- Assist with marketing available units within our software and MLS and handling inquiries from prospective tenants.
- Help prepare leasing documents, process applications, and screen potential tenants to ensure they meet leasing criteria.
- Financial Responsibilities:
- Assist in rent collection, processing payments, and maintaining accurate records of transactions.
- Monitor and assist with budget adherence and reporting for property expenses.
- Ensure timely reporting of any delinquencies and assist in managing tenant accounts.
- Compliance & Documentation:
- Ensure that all properties are in compliance with local, state, and federal regulations, including fair housing laws.
- Ensure tenant compliance with all Lease regulatory requirements.
Qualifications:
- Proven experience in property management, real estate, or a related field is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and customer service skills.
- Knowledge of property management software (e.g., Propertyware) is a plus.
- Ability to work independently as well as collaboratively with a team.
- Basic understanding of residential leasing laws and property maintenance requirements.
