Location: Amherst, NY
Position Summary: Provide administrative assistance and quality care to patients within the DENT Imaging Department.
Responsibilities of Position:
- Obtains pre-authorizations, as needed, prior to patient’s appointment.
- Responsible for obtaining authorizations for add-on studies throughout the day (in house physicians only).
- Schedules patient appointments collecting demographic and insurance information as outlined by Dent procedures.
- Make outbound calls to schedule internal referrals for diagnostic testing within a timely manner, meeting specifications set forth by the clinical providers.
- Works with diagnostic testing department to manage, maintain and update the schedule to promote optimal time management for the patient and/or technologist
- Reviews testing department’s schedule daily for availabilities and completes schedule with patient’s awaiting cancellations
- Updates schedules with cancellations or reschedules and notifies appropriate Dent staff as set forth by policy. Notifies patients via telephone with changes made to their appointment time, place or date
- Reviews appointment list daily for errors, working as a team to resolve scheduling conflicts associated with department coverage changes, including conducting bump lists and rescheduling patients
- Functions as a member of the health care team related to patient care by interactions and cooperation with physicians and other health care professionals. Ensures accuracy of scheduling content. Refers patients to proper clinical resources for health care questions and to proper personnel for Dent policies such as billing and or financial support.
- Completes clerical duties in a time efficient manner as set forth by the Team Leader. Reports errors or problems so that appropriate action may be taken for patient care.
- Verifies/obtains scripts for all imaging appointments.
- Translates physician orders into appropriate diagnostic imaging protocols set by the DENT.
- Transfers imaging data from EMR to DR Systems to ensure accurate physician requests, while maintaining prior scans, and addressing patient histories.
- Obtains accurate documentation of patient health records in order to research medical implants, and document MRI safety.
- Verifies different imaging modality schedules to review in advance that all patient related paperwork and screening procedures have been completed. Notifies appropriate staff of schedulers, technologists, quality physician, or imaging director when issues are found so that appropriate adjustments can be made.
- Understand the purpose and utilization of DR SYSTEMS, CANDESCENT/ ENVISION CONNECT HEALTH, CORE TECHS LABS.
- Assembles imaging DVD/CD’s.
- Assist imaging technologist support if needed, including contrast preparation, and screening imaging patients.
- Notifies supervisor of any equipment service issues.
- Performs other related duties as assigned by authorized personnel or as may be required to meet emergencies.
- Complies with all quality assurance, customer focus, infection control, safety and all policies and procedures set forth by Dent.
- Maintains high level of patient care with proper communication between patient, assistants, physicians, nurses, and technologist to promote friendly environment and efficient workflow.
- Maintains strict confidentiality of patient information.
Skills & Experience Necessary:
- Ability to maintain strict confidentiality.
- Working knowledge of medical terminology, various insurances and insurance and procedure codes.
- Excellent customer service and telephone skills.
- Ability to work independently or within a team environment.
- Willing and able to work infrequent overtime as required to meet operational needs and perform all duties.
- Working knowledge of general office equipment including multi-line phone, computer, copier, calculator and fax machines.
- Effective verbal communication, interpersonal and telephone skills.
Required Education
- High School Diploma or GED.
- 1-year experience in appointment scheduling.
Working Conditions:
- Works in seated position, in front of a computer screen long periods of time
- Minimal physical effort requires some lifting of records and x-ray films, usually not in excess of 15 pounds.

Compensation:
- Most candidates will start within the first quartile of the pay range
- Rates are commensurate with experience
