Key Responsibilities:
- Welcome patients as they arrive, providing a friendly and positive first impression.
- Assist patients with check-in and check-out processes.
Scheduling Appointments:
- Manage patient appointments, confirming, rescheduling, and canceling as necessary.
- Coordinate patient flow and ensure minimal wait times.
- Track appointments and follow up on no-shows or late arrivals.
Managing Phone Calls:
- Answer incoming calls promptly and courteously.
- Schedule and confirm appointments.
- Address patient inquiries, provide information, and direct calls to the appropriate staff member when necessary.
Patient Records Management:
- Collect and update patient information (contact details, insurance information, medical history).
- Ensure confidentiality of patient records and comply with HIPAA regulations.
- File, update, and retrieve patient records as needed.
Insurance Verification:
- Verify dental insurance information and obtain necessary pre-authorizations for procedures.
- Coordinate with insurance providers and assist patients with billing inquiries.
Billing and Payments:
- Process payments for services rendered, ensuring accuracy and proper documentation.
- Issue receipts and maintain records of patient payments.
- Assist with billing inquiries and address concerns related to accounts.
General Office Duties:
- Maintain a clean, organized, and welcoming reception area.
- Order office supplies and restock as needed.
- Assist other staff members with administrative tasks, including filing, faxing, and scanning documents.
Communication:
- Relay messages between patients and dental team members.
- Ensure clear and effective communication with all team members to ensure patient care runs smoothly.
Administrative Support:
- Assist with other office tasks as required by the office manager or dentist, such as patient recalls, follow-up reminders, and special projects.
Qualifications:
- High school diploma or equivalent (some college preferred).
- Previous experience in a dental or healthcare office is a plus.
- Strong communication and interpersonal skills.
- Ability to multitask and manage a busy environment.
- Basic knowledge of dental terminology and insurance is a plus.
- Proficient in Microsoft Office and dental office software (e.g., Dentrix, Eaglesoft, etc.).
- Strong attention to detail and organizational skills.
- Ability to work well in a team setting.
- Ability to maintain professionalism and confidentiality at all times.
Physical Requirements:
