Join our dynamic team at Dental Associates as the Office Manager! This pivotal role requires a dedicated professional to oversee the daily operational and staffing functions of the practice. The Office Manager will be responsible for ensuring the consistent implementation and effective functioning of fundamental systems and protocols to achieve established practice objectives.
Key responsibilities include oversight of staff development, community engagement initiatives, and marketing strategies. Furthermore, this individual will be tasked with implementing and monitoring the strategic vision and operational systems as defined by the CEO or practice owners. Additional duties encompass facilities management, collaborative strategic planning and goal setting with the leadership team, and a commitment to ensuring overall patient satisfaction and fostering the goodwill of the practice.

REPORTS TO: Practice Dentist/Leadership Team
COMPENSATION: $65,000 - $75,000
ESSENTIAL DUTIES & RESPONSIBILITIES
• Lead and manage a team of at least two full-time employees, including hiring, training, and performance management.
• Oversee all aspects of staff management, including recruitment, onboarding, professional development, and ensuring a positive work environment.
• Monitor daily patient flow and staff allocation to optimize efficiency and patient care.
• Supervise front and back-office staff, resolve administrative issues, and develop team performance objectives.
• Prepare and analyze operational reports to track performance and identify areas for improvement.
• Implement strategies to enhance operational efficiency, control costs, and improve internal processes.
• Manage the procurement, distribution, and storage of practice supplies.
• Ensure the practice facilities are safe, secure, and well-maintained.
• Oversee billing and collection processes and ensure compliance with patient recordkeeping and HIPAA regulations.
• Contribute to the development of the practice's mission and strategic vision.
• Act as a liaison between staff and owners, facilitating communication and policy development.
• Demonstrate strong leadership, communication, time management, and problem-solving skills.
• Maintain the highest level of confidentiality and adherence to all safety and compliance standards.

EDUCATION, EXPERIENCE & REQUIREMENTS
• Bachelor's degree in Business Administration, Healthcare Management, Human Resources, or a related field preferred.
• Minimum of 3-5 years of progressive experience in a management role, including direct supervision of at least two full-time employees.
• Demonstrated experience in recruitment, onboarding, performance management, and employee development.
• Proven ability to manage daily operations, including financial oversight, vendor management, and ensuring regulatory compliance (e.g., HIPAA, OSHA).
• Strong leadership, communication, and problem-solving skills with a track record of fostering a positive and productive work environment.
• Experience working in healthcare or dental practice is highly desirable. Sitting, standing, and walking for long periods.
• Moderate noise levels from dental and other office equipment.
• Hand dexterity and typing skills to work with standard software programs provided.
• Strong mathematical aptitude to prepare and interpret financial and productivity reports.
• Excellent interpersonal skills to communicate and lead a team effectively.
• Near Vision - Ability to see details at close range (within a few feet) as required for computer software programs and the observation of subordinates’ work quality.
• Excellent communication skills - Talking and writing to others to convey information effectively.
