As a Business Assistant / receptionist of our dental office, you’ll be a valued business partner to the owner doctor and the dental office. As a hard-working and motivated executive, you will help and support our dental team and ensure that our community members/ patients receive access to dental care and an exceptional customer service experience at our dental office. You’ll be surrounded by a team, where patients come first, and continuous learning is encouraged! Hard-working and motivated, the successful candidate will bring a passion for helping our team provide the best patient care to the communities they serve. Experience working in DSO like Heartland, Operation Dental, or Scheduling Institute supported offices will be considered an asset. Experience presenting treatment plans and insurance verification, EOB, and clean claim submission is required. Experience in turning over dental rooms during busy hours an asset. Sales and customer service experience / skills is of highest importance.
About the role-
- Greet and welcome patients as they enter the office to create a great first impression of our team
- Manage front office duties, including answering phones, checking office mail and email, communicating with patients and insurance companies
- Utilize Curve Dental Software for patient scheduling and records
- Schedule and confirm appointments for multiple providers in the office
- File patient insurance claims and follow up on outstanding claims, verification of benefits and explanation of coverage
- Post insurance and patient payments and process accounts receivables
- Review treatment plan fees and payment options with patients
- Partner with the providers and team to implement Heartland Dental systems to optimize office potential
- Demonstrate ownership to the dental office and always eager to develop technical, commitment and leadership skills
- Demonstrate enthusiasm and life-long learning by participating in various practice management courses, and leadership training.
- Support the Doctor, Hygienist, DA, and practice manager through synergy meetings monthly, team meetings weekly, and strong morning huddles.
- Successfully onboard new team members and always ready to cross train.
Minimum Qualifications
- Experience working in a fast-paced dental office in a customer-centric environment, in front desk / receptionist, or treatment coordinator capacity.
- Ability to analyze processes and information, identify problems and trends, and develop effective solutions and strategies
- Excellent communication, sales, negotiation, and conflict resolution skills
- Trustworthy; maintain patient confidentiality and team ethics
- The position will have access to minimum PHI necessary for performing job-related functions; regular HIPAA training, aligning with the specific role and responsibilities, will be required; and the individual will need to protect PHI and maintain data safeguards.
Preferred Experience
- 1 years of experience in a dental setting
- Experience in greeting customers, answering calls with exceptional communication skills, and responding to patient inquiries through phone, email, text, social media, and in-person.
- 1 years of experience with dental insurance billing, insurance verification, front-desk duties, accepting payment, and accounts receivable
- Dentrix, Curve dental, or other dental software experience
Physical Requirements:

- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
- Availability to attend virtual training sessions (or in-person once conditions allow) periodically throughout the year (some travel will eventually be involved)

- Thursday: 8am to 4 pm
- Friday: 9 am to 6pm
- Saturday: 9 am to 6pm
- Sunday: closed
