Description
We are looking for a dedicated, compassionate, and detail oriented Administrative Assistant to join or Administrative and Operations team. The Administrative Assistant provides office and clerical support services to support the agency Administrative and Operations team.
Reports to: Executive Assistant
Supervises: Assigned interns and volunteers
Primary Functions:
- Perform and facilitate execution of administrative activities and procedures for the operation of the agency Administrative and Operations team
- Answer, assist, and/or direct incoming calls and email correspondence
- Maintain Administrative and Operations team calendars, meeting agendas and minutes
- Assist in project management by tracking deadlines and facilitating communication
- Assist in basic financial management tasks such as verifying bank deposits and tracking incoming donations
- Perform data entry tasks including inputting information into databases and spreadsheets
- Organizing and maintaining physical and electronic filing systems
- Ordering office supplies, managing inventory, and coordinating equipment maintenance
- Provide support in administrative HR tasks including but not limited to completing background checks, creating offer letters, administering onboarding documents, maintaining personnel files, reviewing timesheets for completeness and accuracy, assisting with employee benefits enrollments, responding to employment verifications, and ensuring completion and timeliness of performance reviews
- Provide backup coverage for the agency front desk, answering incoming calls, greeting clients and visitors and providing crisis intervention and referrals as needed.
- Preserve and enhance the Agency’s image in the community through all interactions.
- At every opportunity, inform community members of services available to victims of relationship violence and sexual assault through Friends of the Family.
- Participate in DCFOF staff and education meetings as requested.

Requirements
Prerequisites:
- High School diploma or GED
- Demonstrated ability to listen to others and display empathy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Two years’ experience in a supportive or administrative role with a customer service background
- Detail-oriented and organized
- Ability to prioritize tasks and meet deadlines
- Professional demeanor and discretion when handling confidential information
Preferences:
- Some college with a background in business, social services or a related field
- Human Resource experience preferred
Physical Requirements:
- Ability to lift 25 lbs.
- Ability to easily climb stairs
- Ability to sit or stand for long periods of time
Salary : $16 - $18
