Denton Floyd Real Estate Group is growing! We are seeking a skilled and talented Executive Assistant to join our team. This is an office-based position at our corporate headquarters near downtown Louisville in Jeffersonville, Indiana.

The Executive Assistant is responsible for providing an advanced level of professional administrative support to ensure Denton Floyd Real Estate Group operates in an organized, efficient and professional manner. The Executive Assistant must work effectively with management, team members, and clients in order to assist the partners with accomplishing the strategic goals of the organization. As such, the position requires the highest level of discretion in handling confidential, sensitive and timely information.
Essential Job Duties and Responsibilities:
- Provides direct support to Executives.
- Efficiently manage executive calendars, including scheduling meetings and appointments.
- Assist with planning and execution of special projects, events and initiatives, with follow up to ensure timely completion.
- Coordinate and prioritize scheduling requests, ensuring optimal time management and availability.
- Prepare agendas and ensure executives are informed of upcoming commitments.
- Organize and coordinate meetings, including logistics, and distribution of materials.
- Prepare presentations, reports, and any other documents as requested.
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Develop detailed itineraries and manage any changes or issues that arise during travel.
- Act as a primary point of contact for internal and external communications on behalf of the executives.
- Draft, review, and edit correspondence, emails, and other communications.
- Maintain positive and professional communication at all times with team members, investors, clients, and partners.
- Conduct research and gather data to support decision-making processes, as requested.
- Maintain electronic filing of documents and records.
- Manage and order all office supplies for the Executive suite.
- Continuously seek ways to improve administrative processes and improve efficiency.
- Assist with other duties as assigned.

Qualities Desired in Successful Candidate:
- Bachelor’s degree or equivalent combination of education and experience in a related field.
- 3-5 years experience reporting directly to and supporting an Executive Team/C-Suite, including logistical support.
- Ability to support day to day operations in a fast-paced environment with independent judgment and discretion in handling confidential and sensitive material.
- Exceptional organizational and time management skills with a proven ability to manage multiple priorities in a timely manner , with strong attention to detail.
- Strong written and verbal communication skills, with the ability to craft clear and concise communications.
- Proficiency in Microsoft Office Suite and Google applications.
- Ability to work in a collaborative team atmosphere and be willing to work with the objective of achieving team goals.
- Demonstrate excellent customer service skills with the ability to work well with all stakeholders both internal and external with a high level of respect and professionalism.
- Possess a self-driven work ethic.
- Consistently meets project deadlines.
- Resourceful, positive attitude
- Knowledge of Real Estate or Property Management preferred, but not required.
