Denver Botanic Gardens is currently seeking a Full Time Events Technical Coordinator in our Events Department! Read below to see if the requirements might be a good fit for you:
Position Summary
The Events Technical Coordinator is responsible for the preparation and execution of technical elements for all public events at York St. This role includes providing technical and design support; updating and maintaining various departmental software, including pricing and settings in POS system for onsite sales; researching, developing, and implementing technical features; and executing event shifts as assigned. Must maintain a flexible work schedule to accommodate morning, evening, some holiday, weekend work, and on-call responsibilities throughout the year.
Requirements:General Duties and Responsibilities
- Develops & designs display elements and technical features as directed by management.
- Creates layouts, diagrams, and scale drawings; drafts proposals and cost estimates; sources or creates sound effects, projection content, and custom lighting installations.
- Coordinates with the IT team to install or set up technical equipment as required for events.
- Collaborates with the Manager of Event Production & Design to provide regular maintenance, improvements, and training on departmental software, including project management, mapping, and POS software.
- Updates and maintains pricing and settings in POS system for onsite sales; leads cashier training for POS system; serves as primary cashier lead during plant sales.
- Supports production of plant sale signs.
- Operates power tools or heavy machinery, including but not limited to drills, electric pallet jacks, or scissor lifts.
- Produces lighting, sound, and special effects; leads installation and strike crews for events. Maintains and repairs equipment.
- Develops and maintains project plans in department project management software to track progress, instructions, and status updates. Attends meetings and provides progress updates as needed.
- Maintains detailed notes for event continuity.
- Completes projects within the budgets and timeframes provided by the Manager of Event Production & Design and maintains event budget spreadsheets.
- Completes assigned duties for setting up, staffing, and tearing down all public events.
- Occasionally makes trips offsite for departmental needs.
- Evening and weekend work is required, including on-call responsibilities.
- Regular attendance at the worksite may be required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications: Knowledge, Skills and Abilities
- Must be a reliable self-starter with problem resolution skills.
- Must be a self-motivated team player with the ability to meet deadlines and approach projects proactively.
- Must be able to maintain confidentiality of information.
- Ability to effectively present information and respond to questions from groups of managers, customers, and the public.
- Must be detail oriented and flexible.
- Aptitude to learn, use, and upkeep software programs such as Wrike, Figma, Sketch-up, Adobe Creative Suite, Talech, and Social Tables required.
- Must be comfortable operating ladders, drills, electric pallet jacks, scissor lifts, handheld tools, etc.
- Knowledge of electrical systems for lighting and sound installations required.
- Must be able to complete highly physical labor multiple days in a row outdoors in a variety of weather conditions.
- Must be physically able to work on hands and knees, as well as at heights from ladders.
- Must be able to lift and maneuver up to 50 pounds on an occasional basis.
- Ability to manage and organize multiple events and priorities at the same time in a fast-paced dynamic environment.
- Must be comfortable driving trucks up to 26’ in length.
- Must be comfortable working in an open office environment.
- Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
- Ability to maintain stability under pressure and able to deal well with stressful situations.
- Ability to be flexible and willing to modify plans when necessary, throughout the day.
- Ability to work a flexible schedule, including evenings, weekends and/or holidays.
- Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.
- Ability to work overtime as necessary.
- Must be a positive representative of the Gardens both internally and externally at all times.
- Must work with respect and cooperation at all times with fellow employees and the public.
- Must be committed to working safely at all times.
Experience/Education:
- Associates degree and/or combination of education and equivalent experience is required.
- Minimum of 2 years of experience in theatrical production (stage management, production management, lighting, sound, carpentry, or scenic painting), audio visual production, or event management is required.
- Position requires a valid driver’s license.
Travel:
Up to 10% travel required. Requires the ability to travel to remote locations (or other Garden locations) where environment may vary significantly.
