Denver Botanic Gardens is currently seeking a Full Time Membership, Visitor and Volunteer Services Department Coordinator in our Membership, Visitor and Volunteer Department! Read below to see if the requirements might be a good fit for you :

Position Summary

The Membership, Visitor, and Volunteer Services Department Coordinator supports the day-to-day operations of the department. Key responsibilities include tracking, gathering, and reporting attendance numbers for the organization, processing department invoices, ordering supplies, and providing general administrative support. The coordinator assists in planning and executing department events and programs and supports the Volunteer Services team by leading, training, and supporting volunteers at various events. This position acts as a first point of contact for the department.

Requirements

General Duties and Responsibilities

  • Acts as the first contact for the Membership and Visitor Services office for employees and visitors.
  • Supports Volunteer Services at various events by leading, training and supporting volunteers.
  • Amasses monthly attendance information from all Denver Botanic Gardens departments for various purposes including, but not limited to populating the monthly Attendance Analysis report, SCFD and grant reporting.
  • Responsible for the creating, organizing, and communicating the Denver Botanic Gardens daily institutional calendar (Garden Glimpse).
  • Responsible for developing, implementing, and maintaining office policies and procedures for the Membership, Visitor and Volunteer Services Department.
  • Schedules, makes arrangements for, sets-up and cleans up meetings, including making catering and travel arrangements as necessary.
  • Responsible for documenting and sharing meeting notes for assigned meetings.
  • Processes invoices for payment.
  • Works with Accounting to investigate credit card disputes.
  • Manages inventory and supplies.
  • Manages relationship with vendors and service providers.
  • Greets and assists visitors such as volunteers and guests and, if necessary, directs them to the appropriate staff member.
  • Actively participates in planning and executing department events.
  • Supports the Membership, Visitor and Volunteer Services Departments during major events.
  • Represents the department at appropriate cross-departmental meetings.
  • Works with all departments to assure highest quality experience for all DBG visitors
  • Maintains satisfactory working relationships with managers, co-workers and others
  • Maintains a positive, helpful and solution-oriented demeanor when responding to or serving members, visitors and others
  • Regular attendance at the worksite may be required. As with all positions at the Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications : Knowledge, Skills and Abilities

  • Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
  • Ability to maintain stability under pressure and able to deal well with stressful situations.
  • Ability to be flexible and willing to modify plans when necessary, throughout the day.
  • Ability to work a flexible schedule, including evenings, weekends and / or holidays.
  • Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook, Teams required.
  • Familiarity with Volgistics, Raiser's Edge and ATMS a plus.
  • Must be able to maintain confidentiality of information.
  • Ability to work overtime as necessary.
  • Must be a positive representative of DBG both internally and externally at all times.
  • Must work with respect and cooperation at all times with fellow employees and the public.
  • Must be committed to working safely at all times.
  • Experience / Education :

  • High school diploma / GED and / or combination of education and equivalent experience is required.
  • Minimum of 1 years of experience in an office environment supporting office coordination and / or accounting is required.
