General Statement of Job Function
The Administrative Assistant assists the President’s Office and the Advancement Office in a variety of areas, including but not limited to event planning, direct mailings, communication, correspondence, and other jobs as assigned. He/she must also have the highest level of confidentiality, and poise and be able to interact with guests in person and over the phone and represent the Seminary at the highest level.

Requires sitting, standing, and walking for extensive periods and frequent bending, stooping, or stretching. Work is performed in an office environment and requires working at a computer/copier for extensive periods, eye-hand coordination, manual dexterity, the ability to distinguish letters and symbols, corrected vision, and hearing within normal range. Requires speaking and writing proficiently in the English language. Requires working under occasionally stressful conditions. Requires the use of office equipment such as computers, printers, telephones, copiers, and fax machines. Work is generally fast-paced and challenging.

Essential Functions
- Perform on-call general office work in a variety of areas for the President’s and Advancement Offices: information and document processing, correspondence, organizing mailings and reports, proofreading, assisting with board meetings, record keeping, and report compilation requiring independent analysis, use of judgment, and detailed knowledge of Seminary procedures related to the work performed.
- Greets guests, answer phones, and perform light administrative duties while maintaining a professional demeanor in the President’s Office when the Executive Assistant for the President is out of the office.
- Assists with special projects for the President’s Office.
- Bridge Gallery Help to secure artists and curate the Bridge Gallery and open house for each exhibit. This involves working with a committee to determine the theme for the exhibit and communicating with artists or groups of artists for installation.
- Updating President’s Team SharePoint site
- Assisting EA with Board of Trustees (BOT) events (March, June, November)
- Miscellaneous Projects
- Assists with special projects for the Advancement Office.
- Assist the Advancement Department in preparing for donor, alumni, and community events and services including contacting outside vendors, creating marketing materials, managing sign-ups, setup/cleanup, and compiling and processing feedback. Preparing event materials.
- Update records in the database.
- Perform administrative tasks such as scanning, copying, filing, mailing projects, and research.
- Assist with written and verbal communication with donors and alumni.
- High school diploma required.
- College-level coursework experience is preferred.
- Must be a current Seminary student eligible for work-study employment.
- Valid Driver’s License with current insurance.

- Must have current work-study financial aid.
- Approach and handle all work with confidentiality and professionalism.
- Comfortable communicating with internal and external constituents.
- Complete several projects simultaneously to meet required deadlines.
- Accepts supervision while being able to delegate and serve others.
- Able to communicate in oral and written forms and do editing and proofreading.
- Proficient with MS Office and standard office equipment.
- Servant’s heart, team player, customer-focused, quick to absorb info and learn.
