The Volunteer Program Assistant supports the Volunteer Program Coordinator/Manager in the planning, coordination, and execution of volunteer programs. The Assistant will work to ensure that volunteers are properly trained, supported, and engaged in the organization’s mission and programs through daily, logistical support. This role involves assisting with volunteer engagement, scheduling, tracking, and communicating with volunteers to create a positive volunteer experience.

Essential Duties and Responsibilities
Volunteer Onboarding & Training Support
- Assist in the recruitment of volunteers by posting recurring, internal volunteer opportunities, reviewing applications, and communicating with internal volunteer support partners.
- Support the onboarding and training process by providing volunteers with necessary training materials, assisting in orientation logistics, and tracking onboarding requirements for volunteers.
Volunteer Scheduling & Coordination
- Manage and update volunteer daily schedules as needed, ensuring that shifts are covered and that volunteers are aware of their roles and responsibilities.
- Manage and track all volunteer training requirements to ensure volunteers are properly trained to participate in their roles and current on all organizational training priorities (IBCCES, Culture of Equity, Zoonosis, individual role training, etc.).
Volunteer Engagement & Communication
- Serve as a point of contact for volunteers to address questions or concerns. Provide ongoing support to volunteers to ensure they have a positive and rewarding experience.
- Communicate regularly with volunteers through email, phone calls, or meetings.
- Communicate with volunteers who have stopped meeting requirements, reengage volunteers returning from LOA status, and conduct regular exit evaluations with volunteers leaving the program.
Data Management & Reporting
- Maintain accurate records of volunteer hours, attendance, and performance using volunteer management software. Assist in preparing reports on volunteer program participation.
- Provide support mid-year and end of year, communicating with volunteers their status and helping where needed.
Recognition Support & Event Assistance
- Assist in planning and executing volunteer events, including Volunteer Appreciation Week, the Annual Appreciation Party, meetings, holiday events, workshops, and trainings.
- Support event logistics such as scheduling, setup, and management, ensuring all details and volunteer attendees are organized.
- Continuously recognize and appreciate adult volunteers for their contributions.
Other Duties/Responsibilities
- Other assistance, as designated by the Volunteer team, to support the overall goals of the department and organization. DZCA retains the right to add or change duties and/or responsibilities at any time.
- Acts as a good steward of DZCA’s resources.
- The nature of this position requires safeguarding against the release of confidential and proprietary information of DZCA.
- This position will interact with managers at all levels and staff members across the organization, in addition to members of external organizations and the public.
Technical / Professional Requirements & Qualifications
- Completion or in pursuit of a high school degree or equivalent required, or any equivalent combination of education and/or experience.
- Experience in volunteer coordination, program administration, or a related field preferred. Familiarity with scheduling, training, and data management in a nonprofit, zoo, or similar environment is a plus, or any equivalent combination of experience, lived experience, and/or special skills.
Knowledge, Skills, and Abilities:
- Understanding of volunteer management best practices, including recruitment, onboarding, scheduling, and retention strategies.
- Ability to foster a positive and inclusive volunteer experience through clear communication, support, and recognition.
- Ability to manage schedules, track training compliance, and maintain accurate records using volunteer management systems (e.g., volgistics™).
- Ability to address volunteer concerns with empathy and professionalism while maintaining alignment with organizational policies.
- Basic computer proficiency, including Microsoft Office Suite and volunteer management systems (e.g., volgistics™), is preferred.
- Requires organizational skills, written and oral communication skills, attention to detail, and ability to prioritize work and tasks. Requires adaptability to produce and meet deadlines in a fast-paced, multi-tasking and changing environment, and the ability to work as part of a team.
Position Conditions
- Ability to pass a background check and pre-employment drug and alcohol screen.
- Schedule Availability: This variable part-time position will typically be 19 hours per week, with an increase to 32–40 hours per week during peak seasons. The schedule follows a Wednesday–Sunday workweek, including weekends as regular workdays.
- Work Location: On campus.
Compensation
The hourly rate for this position is $19.00.
