What are the responsibilities and job description for the Executive Assistant position at Department of Buildings?
This is a standardized position description that is designed for use in any District of Columbia Government department, agency or office. This position description depicts generalized duties and responsibilities required for a position with the primary responsibility for performing assignment related to a wide variety of administrative, coordination and technical duties which are in direct support of a high-ranking Executive Official, such as: Deputy Director, Office Head, Associate Director, Senior Deputy Chief or Administrator.
DUTIES AND RESPONSIBILITIES
Manages numerous executive correspondences to include proofing, editing, preparing correspondence for signature to assure that it is consistent with organization policy, and appropriate for the Executive Official's signature or surname. Manages travel arrangements and serves as a resource for guidance concerning travel regulations and procedures. Manages the flow of information and visitors to the Executive Official.
Coordinates communications with people at all levels. Develop relationships, in order to serve as relationship liaison for the Executive Official. Develops background information; and composes drafts of introductions and speeches to be presented at various meetings. Maintains calendar and performs liaison function for seniors or executive staff. Arranges conferences and meetings, determines participants, and advises participants of time, place, and topic to be discussed. Coordinates staff assignments in preparation of meetings
QUALIFICATIONS AND EDUCATION
Specialized experience is work that has equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable, applicants must have at least one (1) year of specialized experience equivalent to the next lower grade level in the normal line of progression.
