About the Job – Your Role
As the Office Specialist 2 for Food Services, you will work with a team of dedicated staff to provide services to the adults in custody (AICs) at the Snake River Correctional Institution. This position provides direct administrative support to the Food Service Manager in office support functions. You will manage purchase orders, general billing requests, and other accounts receivable information for various Food Service programs; maintain legal document files in accordance with state record retention schedules and internal audit standards; and coordinate staff uniforms.
Typical clerical duties include typing a variety of correspondence, reports and memos, researching and assembling information for weekly and monthly reports, data entry and screening incoming telephone calls.
This position assigns, directs, and supervises the work of AIC clerks and will be expected to model appropriate pro-social behavior, support positive change in individual offenders and actively support the Oregon Accountability Model through their day-to-day interactions with others.
This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.
Minimum Qualifications
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents
OR
An associate degree in any field
OR
An equivalent combination of education and experience.
Requested Skills
  • Experience with programs such as Microsoft Word, Excel, Outlook, and Adobe Pro;
  • Experience with Microsoft Outlook including managing calendars, scheduling appointments, meetings, and conferences;
  • Answering multi-line telephone system and screening incoming telephone calls;
  • Preparing a variety of reports, memos, different types of correspondence (proofreads documents for general clarity, punctuation, grammar, spelling, capitalization and typographical errors);
  • Experience placing and tracking orders;
  • Experience assigning, coordinating, and supervising the work of others.
Preferred Skills
These are desirable but not required
  • Experience with AS400 system;
  • Experience working in a law enforcement or correctional environment;
  • LEDS (Law Enforcement Data System) Certification.

Working Conditions
Use of tobacco products is not permitted on SRCI grounds. Work is performed in a prison housing maximum, close, medium, and minimum-security AICs. There is an inherent responsibility to provide assistance through recall and/or reassignment during inmate unrest and other emergency situations occurring at the institution.
The institution is located in Eastern Oregon and is exposed to temperature extremes and inclement weather. SRCI is climate controlled. This institution has over 1 million square feet of building space and is spread out over a 103-acre perimeter, in addition to a minimum facility outside the perimeter. Walking long distances to get to the workstation or perform work will be required. Most AIC housing units are on two levels requiring the use of stairs to reach the second level.
Must be able to concentrate in a disruptive and stressful atmosphere and be able to work with sensitive and/or confidential subject matter that may contain violent and/or sexually connotative language. (Frequently)
May be reassigned during emergency situations (Occasionally).
Nature of work requires initiative and performance without constant supervision (Daily).
Must control and direct AICs in an office not directly supervised by correctional security staff members (Daily).

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

Requirements for Employment
The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
