Under close supervision and in a learner capacity of the Senior Accounting Officer (Supervisor), the Student Assistant will assist in the performance of the administrative and accounting related duties for Cashiers Unit, Accounts Receivable, Revolving Fund, Accounts Payable, and Travel Unit. The Student Assistant will work with computers (Word, Excel, Internet, Outlook, etc.) preparing various documents to assist employees in providing continued support of the Department’s mission.

Duties include but are not limited to:

  • Open, date stamp, sort, and distribute incoming and outgoing mail to the appropriate accounting desks in the Branch as back up for the support service desk assignments.

  • Process California Automated Travel Expense and Reimbursement System (CalATERS) Travel Advance and Travel Expense Claims to ensure proper documentation is provided and travel requests are in compliance with SAM and California Department of Human Resources (CalHR) policies and procedures.

  • Maintain and process invoices in accordance with scheduled time frames.

  • Scan and file documents, such as invoices, deposits, remittances, and back up documents.

  • Assist in account reconciliation, preparing spreadsheets for replenishments for review and enter financial data in FI$Cal.

Working Conditions

The incumbent works in an office setting with workstations that are in close proximity to other FSB staff. The station is equipped with modular furniture, a phone, and a computer with various desktop programs. The department follows recommended COVID-19 social distancing guidelines. A printer is located outside of the immediate work station area. The workstation is also equipped with an adjustable roller chair, file drawer cabinets, and a desk top of standard height. The office is equipped with three photocopying machines and a fax machine. Files with shelves are located throughout the office. The maximum height of the files is approximately six feet.

Department Information

The Financial Services Branch (FSB) is responsible for all facets of the California Department of Food and Agriculture’s (CDFA) financial services branch management including accounts payable and receivable, travel, revolving fund, cashiers, financial reports, and fiscal systems analysis.
