Summary of Duties
As an Administrative Specialist 2 you will:
  • Provide mentoring and support to staff in supporting the work and families using the case aide model, protocols, and efficiencies methods that foster a positive and safe learning environment.
  • Provide project support and general coordination of solutions that support ongoing and newly recognized business operation needs, the workplace Incident Response procedures, ergonomic and facility needs, building evacuation drills and emergency evacuation, as well as lobby and security staff to create a welcoming, inclusive, and safe environment.
  • Coordinate scheduling of training, conference rooms, and events.
  • Support the infrastructure of the office and provide recommendations to the local leadership team regarding safety protocols, audit reviews, and general business operations and efficiencies.
  • Work as Staffing Point, assist managers in the hiring process from requesting approvals to filling vacant positions and through the various stages of the hiring process, and communicate constantly with different managers regarding vacant positions and updating them on the hiring process.
  • Serve as liaison for contractors, service requests, and deliveries.
  • Maintain organizational charts, distribution and phone lists, manage access to project resources, including collaborative sites such as SharePoint/Smart Boards, and other related resources.
  • Develop, maintain, and update procedures for facility business operations in collaboration with building management and safety committee.
  • Conduct and oversee audit reports that monitor procedural compliance including but not limited to receipting, database access, safety practices and position management.
Minimum Qualifications
  • Two (2) years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations. OR
  • An equivalent combination of training and experience.
  • One year of postsecondary education may be substituted for up to one year of the experience.

Working Conditions
  • Works in an integrated office environment, with a team of diverse partners, programs, and staff.
  • Hours of work are Monday – Friday 8-5. Rare, compensated overtime may be required, including evening and weekend work.
  • Work in a fast-paced environment with a high volume of computer work, using various computer programs.
  • Interaction with a diverse population including, some who have experienced trauma, emotional, and financial stress.
  • May require a valid driver’s license or other acceptable method of transportation. Travel is required, sometimes overnight, to other branches in the district supporting and training front staff.
