About the Position:

The Virginia State Police (VSP) is seeking to hire an Office Services Specialist in our Division 4 Headquarters in Wytheville, Virginia. The successful candidate will receive all calls and visitors and direct them to proper person or office; access Traffic Records Electronic Data System (TREDS) Accident Report System to assist the public and other agencies requests for information; reviews State-Owned Vehicle crash reports, Highway Hazard reports, reports from areas, expense account vouchers, and gasoline consumption reports for accuracy; process and collect fees for fingerprints; perform clerical duties as designated by Division supervisors; provide para-professional support to Time and Attendance processes and records; process and review Division and Area’s expense account vouchers and determine compliance with existing travel regulations in an accurate and timely manner; and process bills, enter requisitions and receive services in eVA for the Division.

Minimum Qualifications

  • Working knowledge of clerical and administrative procedures; of proper grammar usage, spelling, punctuation, and basic mathematics; of physical and electronic filing systems; of automated office equipment; and of computer formatted functions.
  • Knowledge of customer service principles and professional communication techniques.
  • Skill in operating a multi-line telephone system and directing calls promptly and professionally.
  • Skill in data entry, record-keeping, and auditing documents for accuracy.
  • Skill in using Microsoft Office Suite (Word, Excel, Outlook) and other office software applications.
  • Skill in identifying and resolving administrative and clerical discrepancies efficiently.
  • Ability to set up and maintain files using a variety of filing mediums and systems; to follow written and oral instructions, policies, and procedures; to pay close attention to detail; and to work independently and as a member of a team.
  • Ability to collect, interpret, summarize, and communicate information orally and in writing in English.
  • Previous administrative and/or clerical experience that includes telephone etiquette, data entry, and document preparation using proper grammar, spelling, and punctuation required.
  • Experience with using and maintaining automated office equipment, including computers, printers, and scanners.
  • High School Diploma or GED equivalent.
