Job Duties
The Department of Behavioral Health and Developmental Services (DBHDS) is seeking a qualified candidate to serve as the Licensing Office Manager. This position will provide administrative office oversight and support to staff and leadership to ensure timely processing of renewals, information modifications, and licensure documents of providers of Mental Health, Development Disabilities and Substance Abuse Services in Virginia. This position will also provide assistance with provider sanctions, other negative actions, and administrative proceedings. In addition, this position will supervise and direct all administrative activities of program staff, all operations associated with administrative tasks, and administrative functions including the CONNECT database, frontline customer service, and communication.
Minimum Qualifications
- Experience providing customer service and administrative support in a professional office setting.
- Experience supervising staff in a professional setting.
- Well versed in Microsoft Office.
- Knowledge, skills and experience in data processing.
- Exceptional communication skills, both oral and written.
- Ability to communicate effectively and professionally with internal staff, leadership, and members of the public.
- Good time management skills, with the ability to adapt quickly and adjust workload to accommodate competing priorities.
- Ability to manage projects and follow through on assignments.
- Ability to manage multiple responsibilities concurrently while meeting tight deadlines when required.
- Ability to implement routine office tasks (e.g. schedule meetings, reserve conference rooms, write minutes for meetings, coordinate schedules, arrange travel, arrange vendors, manage inventory, manage purchase requests in eVA).
- Ability to lead and manage administrative staff.
Additional Considerations
- Knowledge of DBHDS licensing process.
- Knowledge of current state processes, practices and procedures including eVA.
