THE DIVISION
The Division of Virginia State Parks fulfills its mission “to conserve the natural, scenic, historic and cultural resources of the Commonwealth and provide recreational and educational opportunities consistent with the good stewardship of these lands, waters and facilities that leaves them unimpaired for future generations” by operating a system of 43 state parks that encompass over 75,000 acres; over 1200 buildings, almost 1700 campsites; over 300 cabins; over 700 miles of trails; nearly 500 miles of shoreline; 36 lakes and ponds; 11 swimming beaches; 4 international dark sky sites, and offers over 20,000 educational programs and workshops each year.
Managed by a full time staff of 275 and a wage staff of 1000 during the prime season, Virginia’s award-winning state park system boasts an incredible and diverse array of natural, cultural, historical and recreational resources; including parks in the mountains; on the ocean; on the Chesapeake Bay; on 8 major rivers; on 4 major lakes; 4 rail trails; and 3 battlefield sites, and 32 sites listed on the National Historic Registry. THE PARK
Leesylvania is nestled along the tidal shores of the historic Potomac River. Native Americans lived on this land for thousands of years. Capt. John Smith visited the area in 1608 on his voyage of discovery. It’s also the ancestral home of Virginia’s legendary Lee and Fairfax families. Listed on the National Register of Historic Landmarks, Leesylvania offers many land and water activities, including hiking, picnicking, fishing and boating. A universally accessible fishing pier, playground, boat launch, boat storage area, snack bar and store, visitor center and gift shop are available. A 20-station fitness trail and canoe and kayak rentals also are available.
THE OPPORTUNITY
The Office Manager provides administrative support in keeping with the park mission to conserve the natural, scenic, historic, and cultural resources of the Commonwealth and provides recreational and educational opportunities consistent with the good stewardship of these lands, waters, and facilities for future generations. This position is responsible for identifying priorities of the park and developing standards and objectives for administrative processes. The incumbent will coordinate a variety of business functions including budget development and monitoring, financial and account management, human resource management, records management, procurement, and administrative activities such as project tracking and reporting.
This position will also be responsible for maintaining and tracking accounts payable, processing wage employment to include knowledge of proper calculations for payroll certification; handling new hire paperwork and knowledge of documents such as the I-9 or E-Verify; and managing the park work plan with the annual budget. This position also manages the park information and communications (telephones, computers, and base station communications) systems. The Office Manager provides information to the public about park facilities and services and coordinates reservations for picnic shelters and special programs. Additionally, the incumbent provides support in the operation of park-run concessions by daily verification of revenues for deposit.
Minimum Qualifications
- Experience in a customer service and/or public relations environment.
- Strong interpersonal skills to communicate effectively with diverse audiences.
- Familiarity with a variety of office equipment and systems such as computers, Microsoft Office (Excel, Outlook, Word, Publisher), Canva, printers, copiers, and calculators.
- Cash management, merchandise, and/or retail sales experience.
- Experience with procurement, contracts, bookkeeping, budget management, and records retention.
- Supervisory experience to include training and performance management.
Additional Considerations
- Previous experience in a state park or similar setting.
- Experience recruiting, hiring, supervising personnel, and managing the paperwork related to hiring submissions, monitoring timesheets, scheduling, and submitting payroll.
