The Virginia Department of Health Profession's (DHP) mission is to ensure safe and competent patient care by licensing health professionals, enforcing standards of practice, and providing information to health care practitioners and the public.
The Administrative Support Specialist position provides support for Board Administrative Operations to include coordination activities related to (in-person or virtual) Board meetings/hearings, preparing weekly/monthly Board licensing/discipline/activity reports and mail/fax/printing/scanning services. Also, provides licensure/application administrative support to include responding to public inquiries and/or routing to assigned Board staff or Board website, assisting with preparing responses to Freedom of Information Act (FOIA) requests, processing name/address changes for license types, scanning completed application files into MLO. Additionally, provides administrative support duties related to discipline cases.
This is a wage (hourly) position limited to working no more than 1,500 hours during the 12 month period of May 1 – April 30, with no more than an average of 29 hours per week over the 12-month period. This wage position offers no state benefits.
Minimum Qualifications
o Experience working within an office environment.
o Knowledge of office principles and practices within a regulatory office environment.
o Problem resolution skills and ability to research information to ensure quality service.
o Ability to effectively and tactfully communicate orally and in writing.
o Demonstrated interpersonal skills and ability to work cooperatively with others in a team environment.
o Ability to prioritize and organize information, work independently and multi-task in a fast-paced environment.
o Demonstrated ability to provide timely and accurate information to the public and others.
o Knowledge of FOIA and the Administrative Process Act (APA).
o Data entry skills and use of automated licensing and/or information systems.
o Ability to run data summary reports using automated information system.
o Skill in using Microsoft Office Suite, to include experience in preparing or assisting with PowerPoint presentations.
