Job Duties
Acts as a courier between the Pharmacy and Nursing Units; delivering medications, supplies, devices and picking up orders. Fills medication orders/reorders for residents, and refills medication supplies from fill list which is audited by a Pharmacist for accuracy. Performs proper changes and credits for medications, supplies, and devices. Restocks, organizes, and inventories medications and supplies throughout the facility; ordered needed medications and supplies.
Enters medication orders and resident information to update the resident medication profile computer database. Performs proper charges/credits for medications, supplies and devices. Completes and submits end of month billing to all payor sources. Communicates/interacts with responsible parties and payors to setup accounts, explain billing and facilitate payments. Compiles reports as requested by the Pharmacy Manager. Resolves problems with QS/1 billing software. Advises the Pharmacy Manager of billing problems/issues.
Reviews pharmacy billing transactions daily. Identifies & corrects rejected claims daily. Requests prior authorization (PA) from insurance company by filling out the appropriate forms. Performs Medicare D plan(s) cost comparison for current and/or new residents. Assists residents/ family members/ POAs in signing up for Medicare D plan. Keeps informed of insurance formularies as related to billing. Admits/discharges residents in QS/1 system. Performs accurate monthly pharmacy billing by:
a. Review Med A report
b. Review Med A Replacement report
c. Review Account Trial Balance
d. Review Non Covered Medicaid report
e. Review DMVCC report
f. Review 70% Service Connected
g. VA Hospital
h. Hospice
i. Prints billing statements
j. Age & compress old files
k. Zero out previous month’s accounts
l. Creates & sends billing transactions
m. Prints Rx reject resolution report
n. Corrects rejected claims from the sent transactions
Prepares and packages medications within appropriate time and quality standards.
Places orders with wholesalers and manufacturers; processes items received to assure correct product, quantity, price, proper storage, and checks expiration dates; prepares invoices for payment; returns all recalled, out of date, or overstocked medications to wholesaler or manufacturer. Maintains up-to-date records of medications and supplies borrowed or loaned.
Follows safety rules and regulations. Initiates and recommends appropriate corrective actions necessary when violates are seen. Maintains clean and safe environments ensuring orderly work areas throughout the department are maintained.
Reviews, sorts, and files materials (including confidential information); maintains departmental records, files, notebooks, and references; handles departmental mail and correspondence; greets visitors and receives incoming calls, screening them and making appropriate referrals to staff or departments. Performs other duties as may be assigned that are within the Pharmacy Department’s mission or warrant meeting the overall needs of the center. Attends committee meetings as assigned. Complies with all aspects of laws, regulations, policies and procedures.
May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
Minimum Qualifications
Knowledge of the information and techniques related to pharmaceutical operations and dispensing medicines. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. The ability to read and understand information and ideas presented in writing. The ability to communicate information and ideas in speaking so others will understand and to comprehend information presented by others.
High School Diploma or equivalent. A Pharmacy Technician Certification is required. Active licensure is a condition of employment. Must meet all requirements for maintaining license. Experience in long term care or adult geriatric setting is preferred. Some pharmacy experience is also preferred.
