Job Title : Front Office Assistant Medical Assistant
General Summary of Duties: Performs various clerical duties including: answering telephones, taking messages, scheduling appointments, copying, and creating/maintaining patient charts under Supervision of Office Manager. Understand and consistently demonstrate “DLA Way” Core Values. Maintain up to date knowledge of HIPAA and OSHA; strictly adhere to these rules and regulations. Immediately report any deviations or issues with adherence to HIPAA or OSHA.

Major Responsibilities:
Assist Doctor with medical & cosmetic patients
Welcome patients, visitors, vendors. Determine the purpose of visit and direct them accordingly.
- Answer and screen telephone calls in a courteous manner. Record messages for physicians and other personnel.
- Schedule patient appointments and procedures according to established policies and procedures.
- Obtain accurate information from patients; ensure all intake, consent, registration forms are complete.
- Communicate delays to patients and clinical staff.
- Collect patient and insurance payments and reconcile charges on a daily basis.
- Input insurance information into Nextech and scan copy of insurance card into EMA.
- Verify account balances and refunds for accuracy. Provide information to patients regarding unpaid balances.
- Scan/enter patient procedure information, including ICD-10 / CPT coding into EMA as directed by clinical staff and physicians.
- Follow all clinic policies on safety and security.
- Explain financial requirements to patients or responsible parties and collect copays as required.
- Keep the reception, patient waiting areas, front office and supply room clean and organized.
- Copy patient information and forward to requesting party after receiving appropriate consent to release medical records.
- Maintain patient information, files and records in a confidential manner.
- Perform other related duties as directed or assigned.
- Education:
- College Degree
Experience: Two years of executive office experience preferred.
Knowledge:
- Knowledge of executive or clinic policies and procedures.
- Knowledge of computer programs and applications.
- Knowledge of grammar, spelling, and punctuation.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Skills:
- Skill in operating office equipment
- Skill in handling paperwork/filing adequately.
- Skill in handling incoming phone calls and triaging appropriately.
- Skill in written and verbal communication.
- Skill in gathering, interpreting, and reporting insurance information.
Abilities:Equipment Operated: Office machinery including computers, fax, postage machine and photocopier. Occasionally lift and carry files up to 50 pounds.
- Ability to learn/use office computer programs including Microsoft® Excel, Word, Power Point, E-mail, Internet, EMA, Nextech.
- Ability to work effectively as a team member with physicians and other staff.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to interpret and understand insurance benefits and reimbursement.
- Ability to flexibly respond to changing demands.
- Ability to organize and prioritize tasks effectively.
- Ability to communicate clearly.
- Ability to work with little supervision.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
Work Environment: Work performed in office environment. Involves frequent contact with staff, patients and vendors. May require working under stressful conditions.
Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
