Position: Administrative Assistant for Dr. Jill Waibel
Location: Miami, FL (Kendall/South Miami & Coconut Grove locations)
About Us:
We are a busy dermatology and research center with two locations, led by a world-renowned dermatologist. We are looking for a highly organized and proactive Administrative Assistant to support Dr. Waibel and our leadership team. This role offers an opportunity to work in a fast-paced environment where no two days are the same.
Job Summary:
The Administrative Assistant will play a key role in keeping day-to-day operations running smoothly. You’ll help with scheduling, correspondence, and organization, while also assisting with travel, marketing activities, and general office support. This is a hands-on position where you’ll get to work closely with our team and be part of exciting projects.
Key Responsibilities:
- Schedule Coordination: Help plan and organize Dr. Waibel’s schedule, including appointments, meetings, and events.
- Travel Arrangements: Book and coordinate travel for conferences and meetings, both locally and internationally.
- Correspondence: Manage emails, phone calls, and messages, ensuring everything is addressed in a timely manner.
- Marketing Support: Assist with social media updates, newsletters, and creating content like videos or posts for our platforms.
- Clerical Support: Perform general office tasks such as scanning, copying, organizing documents, and managing supplies.
- Event Assistance: Help organize special events and occasional errands to support the team.
What We’re Looking For:
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office and other basic computer programs.
- A positive attitude and the ability to adapt to a fast-paced environment.
- Prior experience in an administrative or assistant role is a plus, but we’re happy to train the right person.
