Job Description
Title: Medical Assistant
Supervisor: Practice Administrator
Overall Summary: Medical assistants are an essential part of our team in providing dermatology patient care and common dermatology procedures. They participate in
Dermatology of Philadelphia’s clinical and day-to-day operations including Mohs surgery.
The job requires an ability to follow established protocols and execute on expectations that have been outlined for efficient delivery of care. The job requires efficient and professional oral and documentation skills. The job requires proficiency of computer operations including DOP EMR and the ability to access and utilize google files, folders and documents. Medical assistants are expected to demonstrate a commitment to, and understanding of DOP’s customer service mission, by modeling customer service excellence in all internal and external relationships and in the performance of all duties and responsibilities. Medical assistants assist providers with the provisions of patient care under the supervision and direction of providers. The medical assistant work schedule is flexible to include overtime, evenings and weekends, as necessary and will be at whatever location is deemed necessary. Metrics for success include clinic efficiency, the patient experience and the provider experience working in our clinics.
Essential Clinical and Patient Care Responsibilities:
- Scheduling patient clinical appointments
- Scheduling patient Mohs and surgical appointments including:
- Scheduling appointment slots in accordance with Mohs scheduling guidelines
- Completing Mohs Surgery Phone Consultations (MSPC) in the EMR in a timely manner
- Reviewing Mohs surgery expectations with patients and answering all patient questions
- Ensuring proper documentation is obtained prior to Mohs appointment (path report, photos)
- Ensuring Mohs surgeon reviews Mohs Surgery Phone Consultations (MSPC) notes when necessary
- Escorting patients in and out of the clinic
- Working with front desk and providers to ensure efficient patient flow
- Interviewing patients, collecting chief complaint, vital signs and history
- Charting and scribing the patient encounter in the patient’s electronic medical record
- Documenting MIPS measures per office management protocols
- Setting up tools and the patient for procedures & assisting with common dermatology procedures/surgeries
- Enter proper medications into the EMR and transmit medications to pharmacy
- Prepare and clean medical instruments
- Prepare local anesthesia syringes properly
- Prepare exam rooms for patient encounters and/or procedures.
- Communicating the dermatologists’ plan to patients
- Inform senior medical assistants of any issues or concerns (patient, staffing, and facility issues).
- Properly handle all tissue specimens including logging of all specimens
Essential Operational and Organizational Responsibilities:
- This position requires 50% of your time in Philadelphia and 50% of your time in Voorhees. This is subject to change based on business needs
- Follow established protocols to ensure all DOP protocols are followed
- Ensure rooms are adequately stocked (clinical rooms vs. surgical rooms)
- Complete daily, weekly, and monthly workflow checklists
- Completing administrative tasks for health insurance verification, prior authorizations, update and file medical records and insurance reports.
- Produce and distribute correspondence memos, letters, faxes and forms
- Administrative duties such as fielding phone calls, informing patients of their lab or pathology results
- Monitor EMR regularly for pathology results and follow through on tasks in the EMR
- DOP email, direct mail, intramail, faxes, pathology/lab tabs in EMR
Secondary Responsibilities:
- Performs other related duties as assigned by senior medical assistant, coordinator or practice administrator
Required education, experience, training
- High School Diploma, GED or equivalent required.
- Completion of medical assistant training program from an accredited school.
- MA Certification (Certified Medical Assistant)
- Current CPR Certification (American Heart Association approved)
- Required to have Dermatology Medical Assistant experience
- Modernizing Medicine’s EMR and practice management system experience
- Proficiency in computer systems and the internet including email, google documents.
- Ability to interact and communicate well as a team and with others, in person or by telephone, including occasional difficult or frustrated patients,
- Ability to report to work with consistent attendance, prepared to work well in a fast-paced environment of a dermatology and Mohs surgery clinic.
- All employees must be vaccinated against covid-19 and influenza
- Knowledge of common dermatology procedures and terminology
Certifications/Licenses:
- Medical Assistant Certificate.
- Current CPR Certification (from approved American Heart Association)
