This position is a 9 month position and would begin in May working through June 11th. There is a summer break and work would begin again in August.
TITLE: Administrative Secretary - Special Education

HIRING SPECIFICATIONS:
Required:
- High school diploma, GED or HiSet.
- Five years secretarial and/or administrative support experience.
Skills, Knowledge, and Abilities:
- Ability to work independently or as part of a team to achieve assigned tasks
- Effective interpersonal skills
- Skills in human relations, leadership, and conflict management
- Proficiency in Microsoft suite of applications, specifically Excel, Word, and PowerPoint
- Effective written and oral communication skills
- Competency working in a culturally diverse environment or the willingness to acquire these skills
BASIC FUNCTION:
The Special Education Administrative Secretary will initiate and coordinate the clerical and secretarial functions required in effective implementation of special education administrative policies of an administrative unit.
ESSENTIAL FUNCTIONS:
- Answer telephone, direct callers, take and deliver messages, and return calls.
- Handle all incoming and outgoing mail and package deliveries.
- Monitor front door access.
- Greet and direct visitors as needed.
- Maintain file documents and employees’ files.
- Maintain conference room calendars.
- Process department paperwork, including Network budgets and orders.
- Process/update the time clock and attendance system, as needed.
- Update reports, forms, and informational materials.
- Prepare reports and distribute as requested.
- Assist with new employee orientation.
- Disburse forms to other departments/schools.
- Assist with special projects (Special Education Summer Institute, Biometrics Screening, etc.).
- Support building/grounds-related activities (conference/presentation rooms, key distribution, security, etc.).
- Serve as the building point person for requesting custodial staff support and general maintenance needs.
- Manage enrollment for Special Education District Wide Programs.
- Support student scheduling for Special Education District Wide Program.
ADDITIONAL ESSENTIAL FUNCTIONS (for every DMPS position):
- Attend work on a prompt and regular basis.
- Maintain confidentiality.
- Maintain satisfactory and harmonious working relationships with the public, students, and other employees.

PHYSICAL REQUIREMENTS:
Frequent: Standing, walking, sitting
Moderate: Bending/stooping, Reaching/pushing/pulling, climbing stairs, driving, Lifting up to 25 lbs for 20 feet.
Tasks: Telephone, computer
WORKING CONDITIONS: Constant inside. Occasionally outside during extremes of temperature/humidity
