Overview
We are seeking a dedicated and detail-oriented Procurement and Replenishment Clerk to join our food manufacturing team. This role is crucial to ensuring that all raw materials, ingredients, and supplies are procured and replenished efficiently to support uninterrupted production. The ideal candidate will have strong organizational skills, excellent Excel skills, excellent communication abilities, and a proactive approach to inventory management in a fast-paced food manufacturing environment.
Essential Functions/Responsibilities:
- Identify and purchase required raw materials, ingredients, packaging, and other essential supplies for food manufacturing operations, based on centrally negotiated contracts
- Maintain and strengthen supplier relationships to ensure timely and cost-effective procurement.
- Collaborate with the production team to forecast demand and ensure optimal material availability.
- Evaluate and track supplier performance in terms of quality, delivery time, and cost. Deliver monthly or regularly scheduled performance metrics to plant management and suppliers.
- Prepare and process purchase orders (POs), ensuring all necessary approvals are obtained before ordering.
Replenishment:
- Monitor stock levels of materials, ingredients, and packaging to prevent shortages and overstocking.
- Coordinate and maintain accurate inventory records using inventory management software.
- Initiate replenishment orders in line with production schedules and demand forecasts.
- Maintain accurate records of all incoming and outgoing materials.
Inventory Management:
- Assist in regular physical inventory counts and audits to ensure stock levels are accurate.
- Investigate and resolve discrepancies between physical counts and system records.
- Ensure proper storage and handling of food ingredients, adhering to food safety and regulatory standards.
Data Entry & Reporting:
- Accurately enter procurement data into internal systems, ensuring proper documentation and traceability.
- Assist in preparing reports on inventory levels, procurement costs, and supplier performance for management.
- Generate reports to track trends in material usage and identify areas for cost-saving opportunities.
Collaboration & Communication:
- Liaise between production, warehouse, and quality control teams to ensure material availability aligns with production needs.
- Provide timely updates and resolve issues related to material shortages, delays, or procurement challenges.
- Communicate with suppliers regarding order status, delivery times, and any changes to requirements.
Compliance:
- Ensure all procurement activities comply with company policies and industry regulations, including food safety standards.
- Stay up-to-date with industry trends, regulations, and best practices related to procurement and inventory management.
Working Conditions:
This position requires working near moving mechanical parts and is regularly exposed to varying degrees of heat and/or cold around 38 to 115 degrees. The noise level in the work environment is usually loud. There is regular forklift traffic in the production and warehouse areas.
Physical Requirements:
The employee must have the ability to talk and hear. The employee is often required to sit and use their fingers, stand, walk and reach with arms and hands, climb or balance, stoop, kneel, crouch, climb stairs or crawl. Ability to lift 50 lbs. Vision abilities require close vision. The employee needs to be able to work in an environment where there are machines, machine noise and moving parts.
Minimum Education, Experience, and Qualifications Required:
- High school diploma or equivalent (Associate’s degree or higher in supply chain management, logistics, or related field preferred).
- Proven experience in procurement, inventory management, or supply chain roles, ideally within the food manufacturing or production industry.
- Familiarity with procurement software and inventory management systems.
- Good Microsoft Excel Skills
- Strong organizational skills and attention to detail.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Knowledge of food safety standards and regulations is a plus.
