We are seeking a highly organized and motivated Administrative Assistant to support our general office. The ideal candidate will be proactive, detail-oriented, and comfortable managing multiple tasks across a variety of functions. This is a full-time position with a wide range of responsibilities, including correspondence, project documentation, staff coordination, and marketing efforts.
KEY RESPONSIBILITIES:
General Office:
• Prepare and manage correspondence and transmittals.
• Assist in the creation and distribution of project manuals and specifications.
• Monitor staff emails and manage communication flow.
• Coordinate job postings and interview scheduling.
• Organize and manage travel arrangements.
• Administer and track permits.
Construction Administration:
• Log and track submittals.
• Mark up shop drawings.
• Process and maintain submittals for ongoing projects.
• Manage and process AIA documents for construction contracts.
Marketing:
• Maintain and update company Facebook and LinkedIn websites.
• Send regular email blasts and seasonal messages (holidays, D3A info) using Constant Contact.
Required Qualifications:
• Proven experience as an administrative assistant or in a similar role.
• Excellent organizational, time-management, and communication skills.
• Strong proficiency in Microsoft Word, Excel, and Foxit PDF.
• Familiarity with social media platforms, particularly Facebook and LinkedIn.
• Ability to manage multiple tasks and meet deadlines.
• High level of attention to detail and accuracy.
Preferred Qualifications:
• Experience with construction administration and AIA documents is a plus.
• Experience using Constant Contact for email campaigns.
Salary : $50,000 - $55,000
