Design Shop Interiors (DSI) is looking for an experienced Administrative Assistant to join our Design Team.
DSI is a fun, collaborative and fast paced environment located in Granite Bay, CA., managing projects that span throughout Northern California and beyond. You would be joining a talented group who pride themselves in their work, but don’t take themselves too seriously - we laugh with and at each other, checking all egos at the door. DSI is about great design without pretentiousness.
We are seeking a highly organized, proactive, and reliable Assistant to provide administrative support and handle various tasks related to the smooth operations of the DSI design team. The ideal candidate will be flexible, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment. A candidate with strong time-management skills and the ability to move fast and think quickly is essential. The design team moves fast and you will need to keep up! This is a support role and not a design related role. We are looking for an administrative professional who thrives in that type of position, this role will not lead to a design position.
Job Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or in a related administrative role.
- Exceptional organizational and time-management skills, with excellent written and verbal communication.
- Proficiency in Mac, Microsoft Office Suite, Google Workspace, and relevant tools.
- Ability to handle sensitive information with confidentiality and professionalism.
- Self-starter with the ability to manage tasks independently, multitask, and resolve issues efficiently.
- High school diploma or equivalent.
Job Responsibilities:
- Assist the design team by organizing materials, meeting rooms, and supplies for client or team meetings.
- Help set up for presentations, including visual aids or design boards.
- Prepare project status reports for clients and team members.
- Place product orders with manufacturers.
- File product damage claims and manage the repair/replacement process.
- Assist with tracking project budgets and expenditures.
- Respond to unexpected challenges and manage multiple tasks or projects simultaneously.
- Ensure seamless communication between various departments, designers, and clients.
- Maintain positive relationships with suppliers, contractors, and other external partners.
- Maintain and organize a library of design catalogs, sample boards, and material swatches.
- Keep the client database and contact lists up to date.
- Organize office supplies, equipment, and materials for the team and office space.

- Attention to detail, ensuring accuracy in tasks such as data entry, document preparation, and project coordination.

- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, vendors, and team members.
