As an Orthodontic Assistant/Scheduling Coordinator, you will play a dual role in providing exceptional patient care and maintaining the smooth operation of our scheduling processes. You will split your time between chairside assisting and front office tasks, ensuring both clinical and administrative needs are met. Key responsibilities include:
Chairside Assisting Duties:
- Prepare and maintain dental instruments, equipment, and treatment rooms for orthodontic procedures.
- Assist the orthodontist during patient treatments by handing instruments, taking notes, and ensuring patient comfort throughout the procedure.
- Take and develop orthodontic records, including x-rays, photos, and impressions.
- Educate patients on oral care and post-treatment instructions to ensure successful outcomes.
- Sterilize instruments and maintain proper infection control protocols.
- Maintain accurate patient records, documenting treatments and progress.
Scheduling Coordinator Duties:
- Manage and coordinate the daily patient schedule, ensuring optimal use of time for both patients and staff.
- Respond to phone calls, emails, and inquiries from patients regarding appointments, treatment schedules, and other general information.
- Reschedule, confirm, and follow up on appointments to minimize cancellations and gaps in the schedule.
- Greet patients with a friendly, approachable demeanor, ensuring a welcoming environment from the moment they arrive.
- Ensure seamless communication between the front office and the clinical team, particularly regarding patient flow and schedule changes.
- Handle insurance verification and basic billing inquiries when needed.

- Comfortable adapting to the dynamic environment of an orthodontic office where priorities can shift throughout the day.
- Exceptional verbal and written communication skills to liaise with patients, coworkers, and external contacts.
- The ability to learn quickly and adapt to new technologies, software, and office procedures.
- Experience in dental or orthodontic settings is a plus, but we are willing to train the right candidate.
This role requires a high degree of flexibility and the ability to multitask efficiently, as you will be expected to handle patient care and administrative duties as needed. We are looking for someone with a positive attitude, attention to detail, and a passion for delivering outstanding patient care.
Responsibilities
- Assist orthodontists during patient appointments and procedures

- Provide chair-side assistance during orthodontic treatments
- Perform four-handed dentistry techniques efficiently
- Ensure infection control protocols are strictly followed
- Ensure patient comfort and safety throughout their visit.
- Provide clear and effective communication with patients and staff
-Adapt to a fast-paced work environment and be open to learning and growing with our practice.
-Travel between our Oxford and Pell City locations as required.
- Cross training other in-office positions
-Answer phones
-Maintain relationship with patients
-Greet and seat patient's in a timely manner
Qualifications
-No prior experience in orthodontics required, but a willingness to learn and be open to constructive feedback is essential. (Experience welcome)
-Excellent communication and interpersonal skills.
-Ability to work well with patients and team members of all ages.
-A friendly, positive attitude and a strong work ethic.
-Bi-lingual (not required)
